    Position Summary

    University Advancement is looking to recruit a pool of skilled administrative assistants. In this role, you will provide administrative support and coordination as a generalist within one of UA's units or teams, supporting either a small group of individuals or a specific team. Administrative assistants play a crucial role in the success of the department's mission.

    If you are interested in a career in higher education, specifically in fundraising or external relations, this role is a great entry point and will give you the opportunity to build valuable skills. Administrative assistants will develop a comprehensive knowledge of the University of Oregon as well as its donors, alumni, and other stakeholders. In UA's highly collaborative department, you will also have the opportunity to become familiar with multiple teams, front-line fundraisers, and other externally focused positions. You will build a knowledge of university policies, UO Foundation policies and procedures, and best practices to provide resources and coordinate activities for the individuals or team you support (including planning and executing events when needed).

    In this role, you will need to be energized by change, highly organized, and adaptable. You will also need strong skills in providing customer service to colleagues, donors, alumni, and friends of the university from a variety of backgrounds. The ability to take appropriate initiative in prioritizing work as well as the ability to work successfully in a collaborative environment are also key skills needed in this position.

    Administrative assistants in University Advancement typically work a hybrid schedule and are expected to be able to work in the office regularly, with some flexibility for remote work depending upon the specific position and responsibilities. Many positions will be located on the main University of Oregon campus in Eugene, but others may be located on the UO's Portland campus once it opens.

    Minimum Requirements

  • Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
  • An Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

    College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

  • Excellent organizational and administrative skills, including the ability to prioritize multiple tasks effectively, anticipate needs, and meet deadlines.
  • Ability to handle highly sensitive and/or confidential information.
  • Strong customer service skills, including the ability to interact with high-level donors or constituents and act as a representative of the university.
  • Ability to use Microsoft Word, Excel, PowerPoint, and Outlook (or similar software), and ability to use layout and design features.
  • Ability to use a database, generate reports, and compile information about donors and prospects.
  • Excellent written and interpersonal communication skills, including editing and attention to detail.
  • Self-motivated, punctual, and reliable; organized and flexible.

    Preferred Qualifications

  • Experience with Advance or similar CRM platforms.
  • Experience in a higher education setting.
  • Experience in or knowledge of fundraising.
  • Experience and comfort in working in a fast-paced, time-challenging environment.
