About the Department/Unit

Summary/Objective

The Administrative Assistant in the Department of Mathematics and Statistics assists with the daily operation of the department office and serves as the public face of the department. The incumbent supports faculty, staff, and students by applying knowledge of academic regulations and departmental information to further the department’s goals and mission. This position provides technical, administrative and clerical assistance to the Senior Administrative Assistant, the Chair, faculty, and students, for the purpose of meeting departmental needs and goals.

Essential Functions
  1. Office Administration:
  • Provide general support to the department by maintaining the front office
  • Provide assistance to faculty and students to ensure timely attention to questions and concerns, supervising textbook and desk copy ordering to ensure availability of both prior to the beginning of classes
  • Maintain department and student academic records, both paper and electronic.
  • Keep organized office supplies , perform inventories, reorder supplies, and restock them .

2. Department Communications:
  • Answer the department phone and monitor the department email addresses .
  • Maintain a professional demeanor, answer questions and respond to inquiries as needed to assist department guests, faculty, staff , and students.
  • Update social media accounts working with College of Arts and Science’s web team to update the department website.
  • Create department fliers and posters for events and programs.
Work Environment
  • This position reports directly to the Senior Administrative Assistant
  • The worker normally performs their job indoors in an office environment

  • Full Time Regular
  • Bi-Weekly 35 Hours/ Week
Required Education and Experience
  • High school diploma or GED
  • Must be proficient in Microsoft Excel and Word with the ability to learn Blackboard, CommonSpot, Business Intelligence, Colleague and other software as needed
  • Experience working in higher education preferred.
Preferred Education and Experience
  • Bachelor’s degree and experience working in higher education

Standard Office Software

Skill using email, word processing, spreadsheet/data analysis, and presentation development software applications such as Microsoft Outlook, Word, Excel, and PowerPoint while preparing reports and presentations.

3. Recruitment and Admissions:
  • Respond to inquiries from prospective students and coordinate with appropriate university offices regarding those inquiries to ensure that current and new students have access to accurate information regarding advising and course enrollment.
2. Event Support:
  • Assist in the successful planning and carrying out of department meeting , seminars, and special events. Schedule department meeting rooms.
3. Other duties as assigned by supervisor.
