Job Description Summary
The Administrative Assistant supports the research and provides administrative services to the Department of Biomedical Sciences in the School of Veterinary Medicine. This position will serve as the main administrative point of contact for designated Biomedical Sciences Faculty and their staff along with coordinating events such as seminars and symposia. The person will manage the Department website and assist in financial processes, planning and travel/lodging coordination for invited guests. They will conduct purchasing of goods/services for designated labs and assist with grant applications for the BMS faculty.

Thus, the person in this position must have expertise in these areas, have an interest in developing a career in health administration and have excellent communication skills. They must be willing and able to work well independently as well as within team efforts. In particular this position requires a person of the highest integrity with an outstanding work ethic and a person that takes initiative as appropriate.

Job Description

Job Responsibilities
  • Provide administrative support to designated faculty of the Department of Biomedical Sciences & their staff including but not limited to travel related planning, expense reimbursement, scheduling meetings, maintaining current NIH and other grant support pages such as biosketches, CVs, lab web pages etc. for each assigned faculty member as they request, generate graphics for faculty as requested.
  • Provide administrative support for preparation of individual and programmatic grants by BMS Faculty.
  • Assist in arrangements for Biomedical Sciences sponsored activities, including lecture series and other events, including itinerary development, financial processes, planning travel, lodging, and visits for guests.
  • Manage the website for the Department of Biomedical Sciences including maintenance, updating and creation and design of new content.
  • Assist with cross-department department-center activities within the University for the Department of Biomedical Sciences.
  • Serve as backup to the Chair's assistant.
  • Assist with departmental interactions with Penn Vet Advancement and Communications teams to generate materials for outreach and fundraising and to ensure that the Department realizes opportunities for strategic advancement.
  • Other duties and responsibilities as assigned.


Qualifications

  • Admin Assistant A: High School Diploma or GED required and 1-2 years of relevant work experience or equivalent combination of education and experience.
  • Admin Assistant B: High School Diploma or GED required and 3-5 years of relevant work experience or equivalent combination of education and experience.
