The College is looking for exceptional colleagues to join the MVCC community. We are currently seeking a full-time Director of Student Records/Registrar in our Office of Records and Registration.

The Director of Student Records/Registrar provides vision, leadership, and management of the Office of Records and Registration. This position plays an important role in the College by effectively providing oversight and management for the maintenance and integrity of all student academic records, all areas of student registration and the recording and reporting of grades, transcript evaluations, information reporting, and compliance with Family Educational Rights and Privacy Act (FERPA) regulations. The Director of Student Records/Registrar establishes and maintains processes for the equitable and consistent administration of policies and procedures as it relates to academic record keeping. The Director of Student Records/Registrar assures compliance with certifying organizations and governmental requirements. Activities initiated from this office affect all students and virtually every office which requires continual communications and coordination.

Key responsibilities for this position include:
  • Provides for the timely and orderly registration of students;
  • Responsible for the maintenance of student records ensuring accuracy, integrity, and confidentiality of information;
  • Develops and refines systems to maintain student information and permanent records in accordance with College, State, and Federal requirements. Certifies graduation lists and diplomas;
  • Prepares, distributes, collects, records, and reports student attendance from rosters to ensure compliance with State and Federal regulations. Certifies student enrollment and achievement. Collects and maintains accurate documentation for State Aid including supplementary aid;
  • Responsible for the development of the academic calendar; and assists with the development and publication of the College catalog;
  • Ensures student records are maintained in accordance with State University of New York (SUNY) and State Audit and Control guidelines. Prepares for and coordinates request for audit documentation;
  • Serves as Records Access Officer for the College. Responds appropriately to requests under the Freedom of Information Law;
  • Establishes and maintains effective working relationships with faculty, staff, students, or outside contacts to provide information, answer questions, and solve problems;
  • Prepares and administers the budget for the Office of Records and Registration;
  • Hires, trains, supervises, and evaluates personnel in the Office of Records and Registration;
  • Works collaboratively as a member of the Learning and Academic Affairs Leadership Team;
  • Performs other duties related to this job description and as assigned by the Assistant Vice President for Learning and Academic Affairs.
Qualifications:

  • Master’s degree in education, administration, or a related field
  • Minimum of five (5) years of administrative and supervisory experience in a college environment and experience with a student information system
  • Effective verbal and written communication skills, with specific emphasis on interpreting and enforcing academic policies preferred
