Summary/Objective

The Coordinator, ASAC Operations is primarily responsible for overseeing all day-to-day functions of the Academic Support and Access Center (ASAC), including frontline activities involving customer service, administrative support, communications, technology, and the maintenance of confidential student records. This position ensures sensitive disability documentation is handled correctly, appointments are scheduled accurately, and all office operations run smoothly.
This position may serve as and oversees the first point of contact representing the ASAC to the university community and the public. The Coordinator will triage time-sensitive student and office needs and handle customer interactions with positivity and kindness.

Essential Functions
  1. Front Office Operations: Coordinate daily operational functions of the ASAC front office including staffing front desk, opening and closing of office, and monitoring access while continuously maintaining confidentiality. Provide administrative support to the ASAC team including, but not limited to, coordinating events, setting up meetings, requesting rooms, preparing documents, scheduling appointments, and answering phones. Responsible for addressing issues with the copiers, printers, and facilities
  2. Front Office Administration: Ensure a positive organizational culture by providing courteous, friendly, and efficient front-line customer service to ASAC visitors and answer inquiries via phone, drop-in etc. Respond to email and voicemail messages and inquiries in the ASAC inbox and take appropriate action. Maintain a broad knowledge of University offices/operations to ensure optimal customer support. Using sound judgment, independently engages in problem-solving with customer service inquiries .
  3. Disability Programs Support: Accurately inform students with disabilities about the three-step registration process, assist with navigating the process, track progress, send reminders as appropriate. Run accurate bi-weekly reports of students registering with ASAC. Schedule student appointments for students requesting disability accommodations. Create and maintain accurate student records in data management system and ensure student data and documentation is properly uploaded and stored.
  4. Communications & Event Planning: Support the day-to-day communications and outreach activities for the ASAC. Ensure ASAC website is up-to-date. Create promotional materials for ASAC workshops and events, including, posters and flyers, and other AU communications.
  5. Other duties as assigned.


Supervisory Responsibility
  • Reporting directly to this position are multiple student employees.
  • This position reports directly to the Associate Director, Disability Support.
Work Environment
  • This position is eligible for hybrid work modality.

Required Education and Experience
  • Bachelor's Degree.
  • 1-3 years of relevant exprerience.
  • Ability to effectively and efficiently communicate both verbally and in writing.
  • Highly developed interpersonal skills, the ability to deal properly with confidential material, and the ability to represent the ASAC within a variety of activities.
  • Fluency with the Microsoft Office Suite, specifically Outlook, Word, and Excel.
  • Demonstrated editing and proofreading skills.
  • Ability to plan, set priorities and follow through on complex tasks
  • Two years administrative or operational experience working in a fast-paced front office.
Preferred Education and Experience
  • Experience working at American University.
  • Experience in higher education and knowledge of university resources.
  • Experience working in a confidential setting; experience with online scheduling and data management systems.
  • Experience with Colleague/WorkDay.
  • Understanding of students with disabilities and relevant needs.
  • Supervisory experience.

  • High level of attention to detail, organization, sound judgement, discretion, and the ability to multitask.
  • Must be able to work and plan independently with limited supervision and provide a superior level of customer service to all ASAC stakeholders.

This position is part of a collective bargaining unit represented by SEIU Local 500. That means the terms and conditions of your employment are governed by university policy (including the Staff Personnel Policies Manual) and any collective bargaining agreement entered into between American University and SEIU Local 500.
