Summary/Objective

Under the supervision of the Chair, the Staff Assistant manages the administrative needs of the Department, serves as the assistant to the Chair, and provides administrative support to faculty, staff, and students within the Department. This position requires the ability to work independently, to exercise sound judgment and tact in dealing with people, to maintain confidentiality with sensitive information and records and to work amicably as a member of a team.
This position reports directly to the Chair of the Department of Government. The Staff assistant may supervise part time staff members or student workers.

Essential Functions
  1. Administrative support: Provides administrative support to assist faculty, staff, and students with basic administrative functions. Serve as the Chair’s assistant regarding all aspects of Department of Government duties and academic responsibilities.
  2. Class scheduling: Maintains Department of Government class schedules including all changes in faculty, course, and enrollment information. Prepare status reports for the Chair and consult with department advisers regarding student needs and course requirements.
  3. Technical Support: Provides technical support for the department, including but not limited to: diagnosing web-related problems, software and hardware troubleshooting, and consulting on future departmental technology needs and concerns.
  4. Faculty Support: Maintains departmental files including office hours, curricula vita, scholarly and academic work by faculty, and computer databases to ensure that the files are kept in an orderly fashion.
  5. Other duties as assigned: May include, but not restricted to, supervision of student workers or potentially part time staff.

  • The incumbent may manage student workers.
Position Type/Expected Hours of Work
  • Full time - 35 hrs/week.
  • Specialist A.
  • Non-Exempt.
  • Hybrid position – some remote working on a regular basis will be possible.
  • This is a union-eligible position.
Required Education and Experience
  • Associate's degree or equivalent.
  • Two years of college or the equivalent in training or experience required.
Preferred Education and Experience
  • Bachelor's degree.
  • 2-4 years of relevant experience.
  • Experience in an academic setting preferred.

  • Good written and verbal communications skills;
  • Effective interpersonal skills with the ability to resolve conflict professionally and amicably;
  • Outstanding organizational skills including the ability to set priorities and work in a dynamic environment under time pressure;
  • The ability to learn new tasks and skills quickly;
  • Excellent computer skills, including the ability to use the Microsoft Office suite.
