Purpose of Position
Provides direct administrative support to the Chief Diversity Officer &Title IX Coordinator. The person filling this position must exhibit a high level of public relations skills in dealing effectively with administrators, faculty, staff, students, and the public.
Primary Responsibilities
Responsibilities include but are not limited to:
• Establish and coordinate meetings related to Vice President’s activities, both internal and external to the University.
• Prepare agendas and collect/create materials for meetings as well as keep meeting minutes.
• Provide a high level of customer service, public relations, and communication as the liaison for the Vice President to the President and his office, the Board of Regents, the Executive Team and their staff, administrators, faculty, staff, government, community leaders, and others.
• Signing authority for the Chief Diversity Officer.
• Act as point person for administration and communication of university policies/procedures.
• Serve as point person for SAP -related needs for the division, including follow-up on training for staff and other assistance where necessary.
• Maintain and monitor the division’s position base budgeting and personnel reporting, including daily/monthly reconciliation of changes to the staff position base and any associated research, verification, and documentation of all relative funding sources as positions are reclassified and needed for communication with the Office of Budget on an annual basis.
• Editor, web page for the department
• Develop, interpret, and ensure compliance with policies, standards, procedures, and regulations for the division and makes recommendations when appropriate.
Qualifications
Bachelor’s Degree and ten years experience preferred. However, relevant education, training, and experience may substitute for the Bachelor’s Degree.
Ideal candidate will have experience with:
- Microsoft products
- Calendar management
- Budgeting and expense tracking
- Presentation preparation
- Board materials
- Written and oral communications
- Office management
- Event management
Additional qualifications include
- A professional demeanor
- The ability to make everyone who comes in the office feel welcomed and heard
- Comfortable working high level confidential and/or sensitive information
- Ability to work in a fast paced environment and deal with crisis situations calmly
- A focus on customer services
