The Opportunity:

The Philanthropy and Alumni Data Services team is currently recruiting for a Gift Processing and Constituent Data Specialist to join the ranks. Reporting to the Manager of Gift Administration, the Gift Processing and Constituent Data Specialist is responsible for entering, uploading, maintaining, or modifying records and data pertaining to philanthropy and alumni engagement. The Gift Processing and Constituent Data Specialist collects and evaluates potential data for updating, such as updated employment information, recognition program status, response to appeals and special events. They are expected to use professional judgement when evaluating new data for updates. The Gift Processing and Constituent Data Specialist is also responsible for processing gifts and issuing donor receipts or acknowledgements as directed, tracks pledges and assists in the processing of matching gifts. The Gift Processing and Constituent Data Specialist is well versed in CASE standards and follows regulations, and procedures when processing gifts. They are expected to research and use professional judgement when processing gifts to ensure we are following University policies and procedures as well as CASE standards. The Gift Processing and Constituent Data Specialist assists the Finance Office and auditors with their information needs.

The Gift Processing and Constituent Data Specialist is expected to complete their assigned duties with great attention to detail and accuracy while nevertheless generating a very substantial throughput of updates. They are expected to use professional judgment concerning interactions with donors – with their focus to ensure transactions are processed accurately and efficiently. The Gift Processing and Constituent Data Specialist will notify gift officers stewardship staff when donors are inquiring about anything behind the recent transaction. This will could provide gift officers with another opportunity for a touchpoint.

All members of the PAE team are expected to work as a team and collaborate to ensure all donors encounters and correspondence is professional and reflects the quality of the university so we can exceed donor expectations.

Responsibilities include the following:
  • Using data services, systems, and sources, including: LexisNexis, the University record system, online alumni community profile data, verifies the accuracy of information in our philanthropy and alumni engagement database and implement updates as required. Established and maintains center donor files, including hard copies. Scan items into the imaging database.
  • Processes contributions using philanthropy and database management software. Generates and audits batch transmittals of gifts. Uses professional judgement in ensuring that CASE standards are followed.
  • Assists in the maintenance and streamlining of the database systems and its procedures, documents proposed SOPs (Standard Operating Procedures) and contributes meaningfully to identifying and implementing fresh opportunities for improvement in workflow.
  • Assist the University Finance offices be resolving coding and entry inquiries. Assist with the monthly reconciliations of gifts and sponsorship revenues.
Qualifications
  • High school diploma and at least two years of administrative support or data entry experience
  • Comfortable working with data and systems to ensure data integrity
  • Strong computer skills and ability to use professional judgement when dealing with new data and modifications
  • High degree of detail and accuracy as well as strong organizational skills are critical to the success of this role
