Job Summary
Reporting to the Assistant Director of Information Management, the Information Management Specialist follows established practices and procedures that contribute to the development and maintenance of organizational knowledge.
Primary Duties and Responsibilities
Essential Performance Requirements*
- Serves as a lead in constituent engagement, interviews, and data analysis
- Promotes the use and adoption of knowledge management methodologies
- Assists with the departmental process and procedure mapping, knowledge management interviews, knowledge management storage recommendations, taxonomy development, naming convention development, offboarding, and other essential knowledge management duties
- Researches and compares knowledge management best practices and provides recommendations to the leadership team for continued improvement
- Authors new content for knowledge base and maintains existing content through periodic review and through end-user feedback
- Reviews knowledge base for completeness, identifies gaps in shared information, and works with subject matter experts (SMEs) and knowledge champions to access and develop missing or outdated information
- Tags knowledge base articles with appropriate metadata
- Reviews suggestions for new knowledge articles, monitors feedback queues, and incorporates fixes into knowledge articles
- Utilizes article usage reports and ITSM reports to monitor knowledge base workflow queue for new work assignments
- Monitors knowledge base feedback for business/process-related (non-technical) questions and issues
- Recommends improvements in technology utilization to optimize user experience
- Identifies, monitors, and reports on job-related key performance metrics
- Confidently engages with constituents at all levels of the institution
- Participates on behalf of the College in external community organizations and associations as assigned to support the essential performance requirements
- Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
- Completes all required training and professional development sessions sponsored through Tarrant County College ( TCC )
- Supports the values of the College: diversity, teaching excellence, student success, innovation, and creativity and service to the College
- Supports the mission, values and 3 goals and 8 principles of the College
Works under the general supervision of the Assistant Director of Information Management

Required Minimum Qualifications
- Bachelor’s degree
- Four (4) years’ working experience related to the Essential Performance Requirements
- Master’s in Library or Information Science, or Knowledge Management, Data Science, or equivalent field
- Experience creating taxonomies, storage guidelines in knowledge bases, and naming conventions
- Experience educating and marketing knowledge management in organizations
- Experience creating business processes and procedures
- Experience with knowledge management
- Experience monitoring and complying with state and federal regulations and laws as they pertain to this position
- Experience working in higher education
- Knowledge of service management including familiarity with service management systems
- Knowledge of knowledge management and information governance
- Knowledge and familiarity of the Agile framework
- Skilled in excellent customer service and interpersonal relationships with diverse populations, including strong listening, verbal, and written communication
- Skilled using MS tool applications and enterprise systems, including Teams, OneDrive, 365, Office, etc.
- Ability to perform duties using TeamDynamix or similar ITSM tool
- Ability to perform duties in Laserfiche and Canvas
- Ability to manage multiple tasks simultaneously while prioritizing and executing under pressure
- Ability to work independently with minimal direction
- Ability to work effectively in a collaborative environment and a setting that is diverse and urban
- Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
- Ability to analyze data and provide sound recommendations based on policy, procedure, practice, and existing regulations while exhibiting strong attention to detail and organization
- Ability to delegate work appropriately to faculty and staff to meet College and campus deliverables
- Ability to learn knowledge articles skills
