Department Summary

The Erb Memorial Union (EMU) is a department of the Division of Student Life. The EMU is a multifaceted auxiliary service that employs over 90 professional staff and 400 student staff, and serves over 15 thousand daily users during the academic year. The EMU welcomes students, faculty, staff, the community and visitors to campus, and its mission is to provide learning experiences and opportunities for personal growth in an open, inclusive, and resource-rich community where students and staff collaborate to inspire and sustain extraordinary programs and services that promote diversity and social interaction. The EMU is student-centered and is operated in collaboration with a student Board, who are actively involved in determining the character and scope of the department and approve the budget recommendations of all EMU services and programs.

Position Summary

Reporting to the Assistant Director for Human Resources and Administrative Services. This position will provide front office coordination including student receptionist supervision (hiring, training, and scheduling) and back up reception (answering phones, responding to walk in traffic and emails) for the EMU Administration office. This position will provide confidential administrative support to the 4 members of the EMU Leadership team, including scheduling complex meetings, taking and transcribing minutes as needed and drafting correspondence on their behalf.

The person in this position will also coordinate telecom requests, purchasing requests including nametag and office supply orders, some travel, and coordinate both special event parking and staff parking permits with UO Transportation Services, and maintain EMU staff, building, and vendor listserves.

This position will serve as the EMU representative on campus committees including the Annual Governor's Food Drive and the Charitable Fund Drive and will also coordinate the EMU's in-kind donations.

Minimum Requirements

One year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

  • Strong written and oral communication skills, including the ability to write and speak on the behalf of another.
  • Strong organizational skills and ability to work independently, managing multiple priorities in a fast-paced environment.

    Preferred Qualifications

  • Strong technical and software skills including experience with calendaring software, database management, various software programs, email applications, word processing, layout, experience with Microsoft Office products, and ability to produce professional correspondence, documents, and presentations.
  • Experience providing administrative support to several executives.
  • Experience supervising or leading the work of students, staff, or volunteers.
  • Experience in a higher education setting.
