About the Opportunity

Operations Assistant (Nights and Weekends)

Summary:

The Seattle Campus is seeking a motivated and customer service-oriented individual to fill the role of Operations Assistant (Nights and Weekends). This individual reports to the Associate Director of Administration and Operations and is an integral member of the Operations Team.

The Operations Assistant is stationed at a front desk for evening and weekend shifts, providing guidance and support to students, faculty, and staff, as well as the part-time desk assistants (student and non-student) working elsewhere on campus. They are trained to perform advanced Operations functions, such as I-9 processing, Husky ID creation, building access, and more. They often participate in the production (set up, support, and post-event reset) of events and may engage in event planning activities with the Event Specialist. In the afternoons, the Operations Assistant will engage in a variety of Operations-related projects and tasks.

This is a highly visible position that requires strong interpersonal, organizational, and communication skills, as well as a high level of attention to detail. The successful candidate is excited by opportunities to learn and be part of a highly engaged team of faculty and staff.

The planned schedule for the Operations Assistant is as follows: Sunday (9am - 5pm) and Monday through Thursday (2 - 10pm). This schedule is subject to change based on business needs. At times, the Operations Assistant may be asked to work overtime or adjust hours to support major events and activities. This is an on-ground position, that is generally ineligible for remote work. This is a full-time, hourly role with a pay range of TBD.

Qualifications:
  • High school diploma (or equivalent) required.
  • Minimum of one-year related experience with a demonstration of increasing responsibilities.
  • Effective time management, highly organized, and detail oriented.
  • Strong multitasking, organizational, and communication skills.
  • Strong planning, and customer (internal and external) service skills.
  • Demonstrated integrity, dependability, judgment, teambuilding and resourcefulness to establish and maintain collaborative working relationships with multiple groups.
  • Must have proficient computer skills with experience in or ability to learn Microsoft Word, Excel, PowerPoint, Outlook, and database management.
  • Experience in higher education preferred.


Key Responsibilities & Accountabilities:

Front Desk & Campus Operations

  • Responsible for staffing a Front Desk (as assigned) and providing support to part-time front desk staff elsewhere on campus.

  • Ensure students, faculty, staff, and other visitors to the Seattle Campus experience outstanding customer service.

  • Train in all safety procedures and systems, including RAVE, CPR/AED, building access (3+ buildings), emergency facilities processes, etc. and often serve as Ops point person while on duty.

  • Collaborate with Operations Coordinator to complete inventory, ordering, and replenishment of office supplies in all buildings.

  • Ensure refreshments (coffee, tea, etc.) are restocked at the end of each day.

  • Serve as evening point person for advanced Operational procedures such as I-9 processing, Husky ID creation, building access, etc.

  • Keep regular stock of paper products and other event supplies in appropriate kitchenette areas on campus.

  • Additional duties as assigned.

    Operational Excellence

  • Attend and participate in weekly Ops team meetings. Raise concerns, ideas, and observations in pursuit of operational excellence. Take initiative to resolve problems when identified.

  • In collaboration with Ops team and others, work and at times lead projects to improve our processes.

  • Engage in a variety of meetings and other engagements to support various operational initiatives.

  • Additional duties as assigned.

    15%

    Event Support

  • At times, assist Event Specialist in planning and producing major events.

  • Assist in event set up and lead break down/resetting of space after events. Monitor events to ensure a positive, professional experience for all attendees and provide additional support as needed.

    The expected hiring range for this position is USD $40,715 to USD $61,075, based upon the position's scope and responsibilities.
