The Broader Impacts Group invites applications for an Administrative Associate IV to join their team. The administrative associate IV is responsible for the management of the Broader Impacts Group (BIG) office and manages vital administrative functions for BIG and its programs: spectrUM Discovery Area, the Autonomous Aerial Systems Office, the Office of Undergraduate Research (OUR@UM), and the Spatial Analysis Lab. This position reports to BIG’s associate director of finance and involves close collaboration with the directors of BIG and its programs.

Responsibilities assigned to this position include:
  • Providing trainings and educating BIG staff about UM policy and procedure and ensuring compliance
  • Developing and maintaining internal office procedures and resources to ensure efficient business practices across a large team
  • Managing employee travel
  • Managing ProCards for multiple budgets
  • Purchasing for and reconciling multiple budgets and indexes
  • Performing routine payroll activities and other HR paperwork, including assisting new employees with the hiring process

Required Skills
  • Demonstrated organizational, time-management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail and autonomy
  • High level of proficiency with spreadsheets, databases, word processing, and email
  • Ability to problem solve, make decisions using good judgment, tact, and sensitivity; and properly handle confidential and sensitive information

Minimum Required Experience
  • High School diploma and three (3) years-experience or an equivalent combination of education and experience.
Preferred Qualifications
  • Proficiency in Banner, UMDW, InfoGriz, GrizMart, U-Approve, and Box
  • Administrative associate experience with oversight and supervisory responsibilities
  • Experience advising others on best practices for conforming to UM purchasing guidelines

Position Details

Position Title: Administrative Associate IV

Position Number: NEW

Department: Broader Impacts Group

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $17.49/hr

Union Affiliation: FOCUS-MFPE

Probationary Period: Six months minimum
