The Administrative Assistant will provide general administrative support to the Dean’s office as well as provide assistance and back up to the essential work of the Dean’s senior administrators. The Administrative Assistant will be cross-trained in the database, technology, administrative and academic functions of the Dean’s Office to assist with and assure continuity of function and services. Qualifications
Four-year degree or equivalent experience and 3-5 years administrative work experience, preferably in an academic environment. Job Specific Qualifications
Exceptional skills in Microsoft Office, PeopleSoft, and Hyperion reports. Must exhibit good judgment, confidentiality, professionalism, initiative, and follow-through. Must be organized and have good attention to detail. Excellent interpersonal communication skills are required. Must be able to work independently and collaboratively. Responsibilities
  • Act as back-up support to the Executive Assistant to the Dean.
  • Answer multiple phone lines and greet visitors to the Dean’s Office.
  • Order office materials and supplies. Purchase gifts on behalf of the Dean’s Office.
  • Resolution of JPMC credit card.
  • Maintain the College work flow charts and faculty/staff directory.
  • Order catering for Dean’s Office meetings/events.
  • Main support to the Academic Operations Manager (Senior Administrator to the Senior Associate Dean for Academic Affairs) in essential office functions including curriculum, graduate awards, processing of 300-400 internship contracts and website review and maintenance.
  • Work in collaboration with the Academic Operations Manager to facilitate and maintain the Falk College internship contract process and database.
  • Communication and follow-up with College departments regarding contract placement and finalization.
  • Point person for the implementation, work and training of the new (July 2021) Tevera internship database.
  • Support for departments of the Dean’s Office, Budget/Payroll/Communications/Development.
  • Remitted tuition benefit handler for Falk College, sends reminders to departments for submission of completed forms at the start an end of each semester.
  • Responsible for data-entry into PeopleSoft.
  • Other duties as assigned.
