Minimum Qualifications
  • Bachelor’s degree required from a regionally accredited institution in higher education, administration, management, or an appropriate student services-related field and at least two years of experience in a leadership position in an administrative office at a post-secondary institution of higher learning, preferably in a field of Enrollment Services (i.e., Admissions, Registrar’s Office).
  • A high level of motivation.
  • Excellent interpersonal skills, verbal and written communication skills.
  • Ability to exercise judgment and discretion in applying policies and procedures and cultivate professional relationships at all levels within an organization.
  • Demonstrated experience in leading other staff members.
  • Experience in serving multicultural populations is also needed.

Essential Duties and Responsibilities

The Registrar’s Office serves as the official depository for all academic records, undergraduate and graduate. The Registrar’s Office is charged with the maintenance of the official inventory of academic policies, programs, and courses; the creation and posting of the official “Schedule of Classes” for each academic term (fall, spring, summer); all aspects of registration; all aspects of grade processing; graduation processing; commencement; records management; releasing of academic transcripts; certification of enrollment and graduation; planning the academic calendar; Banner Student Information System coordination; managing processing from the centralized residency determination system ( RDS ) for the purpose of tuition; readmission and forgiveness processing; creating and maintaining electronic degree audits; processing withdrawals from the University; ensuring compliance with NC immunization compliance; production of ad hoc reports; information management, coordination and execution of all commencement ceremonies and serving on committees/councils.

The responsibilities of the Senior Associate Registrar for Customer Service and Academic Scheduling include but are not limited to the following:

Student Services and Academic Scheduling 25%
This position serves as a member of the Registrar’s Office management team and supervises the Service Area and academic scheduling staff. This position is responsible for leading efforts of the team to assist current and prospective students, alumni, parents, faculty and staff, and ensuring proper training is received to understand and enforce university policies and procedures. The Service Area is responsible for managing incoming walk-in traffic, the office reception area, and phone line coverage while communicating accurate information at all times, and training campus stakeholders on any policy and procedure changes as needed. The Service Area staff manages academic scheduling activities including the creation of the schedule of classes, schedule roll process, and course building, including dual/cross-listed courses at both the graduate and undergraduate levels.

Registration Adjustments 25%
This position leads, processes registrations, registration adjustments, and enrollment forms in a timely manner and ensures deadlines are met. This position manages withdrawal requests, and meets with students and families as may be necessary in explaining and assisting them with the withdrawal process. Works with the Registrar on late withdrawal appeals and committee preparations as well as administrative withdrawal requests from other areas on campus. Processes medical reductions for courses as approved by Health Services.

Compliance 5%
This position oversees discrepancy/error reports and enrollment reporting to the National Student Clearinghouse. This position assists in reviewing website content for needed updates as related to areas of responsibilities and ensures procedures within the Service Area are clearly documented and kept current for all tasks under their supervision. Ensures compliance with the Health Services immunization requirements; processes records requests from the Office of General Counsel and oversees federal officials transcript requests or other student enrollment information; ensures deadlines are met for the institutional reporting in concert with the institutional research office.

Supervision and Operations 20%
This position is responsible for assisting in the management of the office in the Registrar’s absence along with other members of the Registrar’s management team to ensure office operations continue seamlessly. In general, this position must apply knowledge of supervisory practices and skill in supervising others, delegating work, and treating staff equitably. This position supports, as appropriate, opportunities for employee training and growth and provides leadership in planning and organizing the work of others. This position must possess a willingness to streamline processes, redefine business processes as directed by the Registrar, and be willing to investigate best practices at other institutions as well as with state, regional, and/or national organizations.

Campus Collaboration 10%
This position must work collaboratively with Deans’ Offices, Department Chairs, Institutional Research, Space Management, Summer Sessions, Student Accounts, Financial Aid, Student Affairs, and other offices institution-wide. This position must be able to manage complex work situations and implement responses based on interpretation of regulations and standards, in collaboration with the Registrar. This position must possess the ability to work independently, or on a team to solve complex issues in a collegial manner. The position must maintain professionalism when responding to or working with students, faculty, and staff both inside and outside the Registrar’s Office.

Committee Participation 10%
This position must participate in university-wide committees as appropriate and possess an ability to represent the Registrar’s Office professionally and respectfully across campus and beyond.

Commitment to Strategic Plan of Department and University 5%
Successful candidates will also demonstrate leadership and innovation in advancing the University’s Strategic Plan and dedication to recruiting and serving all students in respectful, sensitive, and understanding ways.

Other duties will be assigned on an as needed basis.

Suggested Salary Range
$60,000-$65,000
