Job Summary:
Function:
The Student Experience & Engagement Student Activities Fee
Assistant supports the overarching mission of the Department by
fulfilling clerical responsibilities related to Barnard College and
Columbia University Student Activities Fees allocated to student
organizations and affiliated groups in the Student Leadership
Collective (SLC). These organizations include the Student
Government Association (SGA) and SGA supported groups, Governing
Board at Barnard (GBB) and student clubs/organizations recognized
by GBB, and McIntosh Activities Council (McAC) and McAC programming
committees. Additionally, the Student Activities Fee Assistant will
support duly recognized groups funded by Columbia University as it
relates to their finances and purchases. The Student Activities Fee
Assistant also provides clerical and general support to the
Department during peak periods or when clerical responsibilities
related to the Student Activities Fee are minimal. The Student
Activities Fee Assistant plays an integral role in oversight of
student fees and ensuring that the SEE Department is being a good
steward of student fees collected to improve the overarching
student experience at Barnard College.
Job Description:
Duties & Responsibilities:
1. Serve as the primary fiscal coordinator in support of funds
allocated from the Student Activities Fee to affiliated groups in
the SLC and entities supported by SLC organizations.
2. Manage, maintain, and monitor financial records and accounts for
SLC supported entities via financial tools and programs used by the
College. This includes all of the accounts tied to SGA and
recognized student groups both by GBB or the SEE Department.
3. Fulfill all purchases tied to funds allocated from Student
Activities Fees. This includes purchase orders, credit card
purchases, check requests, budget transfers etc.
4. Prepare, reconcile, with the Office of Budget and Planning, and
update budget reports for all entities financially supported by the
Student Activities Fee.
5. Keep an accurate record of items purchased with Student
Activities Fees and work with members of the SEE department to keep
an accurate inventory of items storage in spaces managed by
SEE.
6. Create, update, and maintain all forms, documents, and processes
related to the making and reconciling purchase funded by the
Student Activities Fee.
7. Meet regularly with student leaders, with fiscal or purchasing
responsibilities, from all student groups/entities financially by
the Student Activities Fee.
8. Develop, present, and when necessary update training materials
for all student leaders required to complete financial
training.
9. Work in partnership with student leaders in the SLC to prepare
budget requests, proposals, and allocation of funds for SLC
supported groups and with partners at Columbia University;
specifically the Funding at Columbia University (F@CU).
10. Oversee existing accounts with third party vendors and explore
opportunities to expand the number of approved vendors as it
relates to spending and purchases made with Student Activities
Fees.
11. If necessary, supervise student employees tasked with assisting
with fiscal duties related to the Student Activities Fee.
12. Provide clerical support for the Department including but not
limited to serving as a receptionist, office manager, and general
office support/coverage.
13. During peak periods, assist colleagues with financial related
responsibilities for the Department or accounts not funded by the
Student Activities Fee.
14. Serve on departmental and college-wide committees when
necessary, specifically if a committee calls for a financial
representative.
15. Other duties as assigned to support the mission of the
Department or Barnard College.
Skills, Qualifications & Requirements:
QUALIFICATIONS:
- Associate's degree or two years' college education (or relevant additional experience)
- 1-3 years of experience working with budgeting, financial management or a related field
- Experience working in a higher education setting
- Familiarity with software applications used by the College; Work Day, Anthology Platforms, Google Suite, Microsoft Applications, etc.
- Experience or is comfortable working with traditional college aged students (18-24), as well as, experience working with diverse populations.
- Strong communication, time management, and organizational skills.
- Demonstrated professionalism
- Ability to work in a high volume, high traffic, and high energy environment
- Ability to work as a member of a team and willingness to be a member of the Barnard Community.
WORK HOURS & OTHER DETAILS:
- 12 month position, full-time 35 hours per week
- Anticipated hours of work; 9am - 5pm (can be flexible)
- Occasional weekend and evening work depending on the needs of the Department/College
- This position is housed in the Department of Student Experience and Engagement and works in a shared open-plan office with other SEE professional and paraprofessional staff.

Salary Range: $31.25 - $31.25 / hour
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
