The Executive Assistant to the Office of the President functions as office manager for the Office of the President, providing operational coordination and high-level executive support to the Executive Director - Office of the President & University Secretary, to whom the position reports, and to the University President. The Executive Assistant to the Office of the President represents the President's office to a wide range of constituencies, including students, faculty, staff, alumni, parents, external constituents and trustees. The Executive Assistant serves as the primary coordinator of President's office communications, manages President's office budgets and serves as special project manager for various short- and long-term efforts for the Office of the President.

The successful candidate will be a highly motivated and organized individual with excellent verbal and written communication skills who works autonomously; is adept at prioritizing work and overseeing administrative matters with minimal guidance; uses independent judgment on office matters; and works consistently and frequently with highly confidential material.

The Executive Assistant will interface with a wide variety of diverse internal and external constituencies requiring considerable discretion and confidentiality. They will collaborate frequently with staff in the offices of the Provost, General Counsel, Human Resources, Finance, Advancement, and Communications, among others, and must be able to quickly adapt and thrive in a fast-paced environment with competing demands. The highly visible working environment of the Office of the President is dynamic and highly sensitive.

Job Duties:
● Serves as the first point of contact for visitors and callers to the Office of the President; triages requests and draws attention to urgent matters requiring immediate attention.
● Oversees all correspondence on behalf of the President's Office, providing quality assurance, including managing incoming material and drafting and/or proofreading/editing outgoing material.
● Manages and maintains administrative processes and systems to ensure efficient and effective support of operations functions.
● Provides budget management for the Office of the President.
● Provides staff support and assists with meeting logistics and distribution of materials for Board of Trustees meetings. Partners with President's Office staff to manage logistics for various on-campus meetings and events with various constituencies, including events taking place at the President's house.
● Manages special projects, keeping track of initiatives and ensuring their advancement at the request of the President and/or Executive Director of the Office of the President & University Secretary. Such projects may involve problem-solving, fact-finding/background research; data collection and analysis.
● Actively contributes to Bucknell's efforts to foster a diverse and inclusive campus community through intercultural competence.
● Supports and promotes the University's DEI and sustainability efforts to protect, maintain, and increase the long-term viability and resilience of the University's employees, environmental, social, and economic support systems.
● Performs other duties as assigned.

Minimum Qualifications:
● High school diploma.
● Five years executive-level administrative experience
● Technical proficiency in relevant software applications such as MS Office (Word, Excel, PowerPoint), Google Suite
● Ability to work on a day-to-day basis with trustees, major donors and distinguished guests of the University, as well as maintain relationships on behalf of the President with other colleges and universities and external organizations.
● Must be adept in setting priorities and in demonstrating flexibility in handling a wide variety of assignments in a fast-paced environment.
● Possess an interest in continuous enhancement of technology skills as well as other professional development.
● Ability to work evenings and weekends when necessary.
● Ability to travel occasionally as requested.

Preferred Qualifications:
● Associate's or Bachelor's degree
● Five or more years of executive-level administrative experience in higher education
● Familiarity with Workday and Qualtrics

Work Type:
This position is a full-time, twelve-month, benefits-eligible, exempt staff position.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.

Salary Range:
This is a Staff Exempt position with a hiring range of 52,500-65,625. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
