ENROLLMENT SERVICES REPRESENTATIVE
MALCOLM X COLLEGE
Malcolm X College is seeking an Enrollment Services Representative. This position provides information and excellent customer service to new and returning students arriving at a college’s One-Stop-Shop Center with inquiries or issues regarding admissions, enrollment, registration, financial aid, student records, and related student services. An Enrollment Services Representative also functions as a campus resource, helping students identify and clarify issues, routing students to appropriate college personnel based on their inquiry/issue (i.e. Advisor, Financial Aid, Registrar, Business Office), and assisting students in resolving problems to ensure their successful enrollment and registration. Performs related duties as required.
The mission of the Admissions Office is to assist all prospective students interested in attending one of the City Colleges of Chicago toward their acceptance to the college. We will provide current information about academic programs and degrees along with the admission requirements for our Health Science programs.

ESSENTIAL DUTIES:
- First point of contact with students arriving at One-Stop-Shop Center. Ensures that students sign into the Q-nomy system on arrival, reviews with students the reason(s)for their visit, answers questions, and assists students in obtaining services needed.
- Assists and guides students on navigating student portal to execute self-service actions; reviews for completeness submitted forms and paperwork required to complete steps in processes related to registration, advising, and financial aid.
- Reviews student records accessible at One-Stop-Shop Center to help identify steps and documents needed to assist students in the enrollment and registration process.
- Provides general information on academic procedures and processes such as student onboarding, academic advising next steps, testing, and academic and financial holds.
- Assists prospective and current students in registering for Professional and Personal Development (PPD) non-credit courses.
- Routes and re-routes students to appropriate campus office and personnel(e.g. Financial Aid, Academic Advisors, Registrar, and Business Office for more in-depth information, assistance, and problem resolution.
- Provides a centralized location for students to drop-off and submit a variety of registration, financial aid, and student services documents for distribution to appropriate campus Offices and personnel.
- Enters data from documents into GradesFirst to update student records as directed.
- Provides training sessions to students on the use and navigation of the student portal and Q-nomy system.
- Assists with the training of student employees in the One-Stop-Shop Center.
- Associate’s Degree from an accredited college, and three years of work experience in customer service
- Bachelor’s degree preferred
- Demonstrated excellent customer service skills
- Moderate proficiency in the use of Microsoft Office (Word, Excel, and Outlook)
- Knowledge and understanding of software and systems used in One-Stop-Shop Center including Q-nomy, Campus Solutions, and GradesFirst.

- Ability to exercise tact and diplomacy in handling sensitive situations
