Job Description

The Community Standards Office Coordinator provides administrative support to the Director of Community Standards and to the case management staff. This position is responsible for managing the day to day operations of the office including: management of the budget, purchase requisitions, and other financial paperwork. Management of the Community Standards website, management of Maxient, the electronic records system, management of the Community Standards email account, facilitate daily contact with a variety of departments on campus including both student experience units and academic units, maintain the process of collecting and processing student cases, including preparing files, updating information, tracking completed sanctions, and scheduling appointments. Daily interaction with both students and parents and related outreach, programs and trainings, and providing the welcome reception and triage for both phone calls and walk-in appointments with students, their families, faculty and staff. Daily interaction with government agencies for background checks, FBI, and homeland security.

Qualifications

Two year Associates Degree required, Bachelor’s degree preferred, or an equivalent combination of education and experience plus 3-5 years of administrative, relevant experience working within a complex office situation.

Job Specific Qualifications
  • Ability to multi-task in a fast-paced crisis-facing environment.
  • Effective communication skills to address all levels of the University including students, families, staff, faculty and administration.
  • Proficient in Microsoft platform and able to quickly train on database management systems including MySlice, Maxient, etc.
Responsibilities
  • Perform administrative and clerical duties that require independent judgement and confidentiality including management of incident reports, case creation and case assignments; correspondence creation and distribution.
  • Supervise work study staff.
  • Manage office files, records and databases including archives file management and conduct checks.
  • Manage telephone, email and walk-in inquiries from students, parents and staff.
  • Manage office supplies and inventory, budget paperwork and credit card reconciliations.
