Position Title
Administrative Coordinator (Academic Year-10 Months)

Overview

Provide secretarial and Administrative office support to the Blackfriars Theatre Department.

Essential Duties:

1. Perform intermediate and advanced computer functions including managing databases, creating, analyzing, integrating and importing linked spreadsheets, creating mail, envelope and table merges, creating and editing captions, adding graphics, editing images, footnotes, endnotes, indices, tables of content, creating master documents and reports using information from several sources.

2. Train student crew in design and graphics software, box office ticketing, and house managing/”front of house” responsibilities (acting as the liaison between the performance production crew and the box office, patron assistance, and overseeing public areas for safety and comfort of patrons at the theatre.)

3. May identify and make recommendations for additional or modified departmental systems. With approval, may design and implement new or modified systems. May serve as an internal resource on departmental administrative questions. May, with supervision, organize and coordinate special projects including presentations, education programs, and special events.

4. Arrange group ticket purchases both internally and externally; solve patron issues that arise above student responsibilities; monitor students in the box office and front of house positions; and serve as back-up as needed.

5. Compose and produce correspondence and reports; design and produce reports and research data and information on the Internet.

6. Prepare and maintain records, files, and databases some of which may be confidential. Monitor budgets and other financial activities that may require proficiency with math and bookkeeping through trial balance. May be responsible for the accuracy, maintenance and reconciliation of financial accounts, processing of payments, transmittal reports, billing, and data entry to the accounts payable system.

Marginal Duties:

1. Answer phones, greet and direct visitors to appropriate areas or persons; sort, open, distribute and route individual or departmental incoming mail, and prepare outgoing mail; coordinate internal and external attendees’ calendars, reserve/schedule meeting rooms, and make arrangements for equipment, seating, and refreshments, when necessary.

2. Perform all other duties as may be required.

Education and Experience Required

• Associate Degree in visual arts management or arts management from an accredited institution.
• Three to five years’ of related experience or an equivalent combination of education and experience.
• Ability to meet deadlines in a fast-paced and complex environment and ability to quickly adjust to change
• Ability to teach skills
• Strong organization skills, writing, and proofreading
• Design skills essential
• Knowledge of graphic design software required
