This position will provide entry level sponsored funds management, with specific responsibility for both pre-award and post-award functions. Under the direction and oversight of the grants and contracts team, we are seeking a Grants & Contracts Specialist who will be involved with easy to moderately complex sponsored funds management tasks. This position will also be responsible for account monitoring and balance reporting of non-sponsored accounts. This position will provide administrative support to departmental staff and work directly with the departments Administrator on specific payroll related tasks.

Specific Duties & Responsibilities

  • Form an understanding of JHU policies and procedures relating to grant management, as well as how workflows through the various JHU central offices and the department.
  • Assist in the development and review of budgets and related justifications for appropriateness and completeness.
  • Ensure all required information and documentation is uploaded to various grant application portals (ASSIST, Workspace, JustGrants, G5, etc.)
  • Monitor and review sponsored subaward billing/invoicing to ensure compliance and timeliness of payment.
  • Work directly with PIs and Co-Investigators to distribute and compile required internal forms for grant submissions in a timely manner (before the internal deadline)
  • Assist the grants team in responding to time sensitive Just in Time requests.
  • Update an internal database to ensure faculty's Other Support pages are up to date and in compliance with federal guidelines.
  • Support the grants team with account monitoring and balance reporting, includes sponsored and non-sponsored accounts.
  • Track and help submit progress reports for sponsored awards.
  • Work directly with departmental faculty to ensure all required trainings are up to date and in compliance.
  • Reconcile accounts and work with the grants team to initiate non-payroll cost transfers as requested.
  • Work with faculty, staff, and students submitting travel requests through CONCUR.
  • Process check requests for invoices in SAP and verify payments with vendors, including resolving non-payment issues.
  • Process salary transfers in SAP for payroll updates.
  • Work with department personnel to setup student & employee Payroll. Responsibilities related to this task include gathering data for BHRS, following up on Timesheet X discrepancies, salary changes, hires and terminations.
  • Setup JHED, BSPH accounts and Gotomypc accounts as requested by the department.
  • Coordinate administrative functions such as purchasing, student payroll, and records administration as needed.
  • Assist the grants team with all duties as assigned.

Special Knowledge, Skills, & Abilities

  • General knowledge of accounting and budgeting.
  • General understanding of external federal guidelines and procedures regarding grants and contracts.
  • Ability to understand when additional direction/expertise is needed on matters of complexity.
  • Ability to prioritize own work, work with flexibility on several tasks simultaneously to meet concurrent deadlines.
  • Be comfortable working independently as well as part of a team.
  • Have strong communication skills, both oral and written, and be able to maintain confidentiality.
  • Proficient using Microsoft Excel and Microsoft Access


Minimum Qualifications
  • Bachelor's Degree.
  • One year of administrative/budgeting experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
