Xavier University is seeking applications for the position of Residential Services Coordinator. Reporting to the Assistant Director for Housing Operations, the Residential Services Coordinator provides key support for the Office of Residence Life with emphasis on the operations and services impacting 2,300+ residential students. This individual takes an administrative role in resource provision, enforcing related policies, executing financial processes, and serving as the central Buyer in XavierBuy for the department and all residential student programming.

Additionally, the Coordinator serves as a developer of the Resident Assistant Recognition and Alumni Engagement program, crafting engagement opportunities for the Residence Life team, and keeping connected to RA alumni. The Coordinator supports the Assistant Director Housing Operations in the design, implementation, and communication of all housing operations processes with particular focus on hall opening/closing, semester health and safety checks, and housing selection processes throughout the calendar year.

Lastly, the Coordinator provides daily administrative support for the Office of Residence Life. Specific duties include supervision of student workers, office management, and providing front line customer service to students, staff, parents, and guests to the University.

Job Responsibilities:

Executes front of house operations for department.
  • Serves as first point of contact for students, families, and guests of the University in facilitating all public facing office operations including by phone, email, and in-person visits.
  • Hires, trains, and supervises central office student workers including coordination with Student Employment office, on-going training, project allocation, and budget monitoring. Supervises summer student office workers.
  • Provides students and parent referrals to campus partners including Admissions, Auxiliary Services, Bursar, Access and Disability Resources, and many others.
  • Updates departmental website to ensure timely and accurate dissemination of information to campus constituents.
  • Assist with coordination and administration of all openings, closings, facilities turnover, correspondence with students/parents as well as other university offices.
  • Maintain a high standard of confidentially in relation to work with student conduct and crisis.
  • Act as a gatekeeper to staff members and all incoming information.
Manages departmental programmatic resources, finances, and inventories.
  • Acts as point-of-contact for RA related questions and problem-solving related to event planning and processes
  • Serves as the central Buyer in XavierBuy for the department including the creation of requisitions, problem solving with vendor setup, and serving as the receiver and distributor of shipments and orders for all related groups.
  • Reconciles all RA purchase cards on a monthly basis and reports budgeting updates to Hall Directors.
  • Manages RA programmatic kits and related policy.
  • Manages departmental gift card prizes and related policy.
  • Manages the departmental resources, supplies, inventories, and related checkout processes.
Manage departmental communications to residential students, alumni, families, and supporters.
  • Responds to a variety of student and parent inquiries/outreach with particular focus on operational processes such as housing selection, roommate pairing, hall opening and closing, residential student amenities, and facilities.
  • Coordinates design, publication, and dissemination of monthly resident newsletter and quarterly parent newsletter.
  • Manages social media accounts for Residence Life including publication of messaging, monitoring of responses and has presence in unaffiliated parent/family Facebook group.
  • Coordinates departmental March Gladness fundraising efforts with support from Alumni Affairs. Partners to provide re-engagement opportunities for RA alumni.
  • Chairs the departmental RA recognition committee in providing regular events for residential leaders to show appreciation for their efforts.
Administers departmental policies and related processes.
  • Administers processing of all departmental invoices and deposits in collaboration with campus partners.
  • Facilitates residential temporary access card distribution, auditing, and lockout processes.
  • Oversees placements of damage, conduct, and lockout fees on student accounts with coordination of Bursar’s office.
  • Manages Musketeer Mezzanine space reservations and related policy.
  • Assist with coordination of summer housing assignment information and communication of student resources.
Promote and serve as a representative of Student Involvement, Student Affairs, and Xavier University
  • Serve as a departmental representative
  • Support divisional teams, committees, and work groups
  • Serve on university-wide teams, committees, task forces, and work groups as assigned
  • Contribute to university-wide and departmental programming and event planning processes as requested
  • Assist with other duties as assigned
Requirements:
  • Bachelor’s Degree
  • 1-3 years of experience
