Job Description

The Assistant Director Advancement Operations will manage the Maxwell School of Citizenship and Public Affairs’ functional aspects of gift processing and related reporting, and track internal fundraising results through regular fundraising report preparation and validation, managing metrics/leading indicators of progress, and supporting operational compliance within the department.

The Assistant Director Advancement Operations is involved with all aspects of the development database (Blackbaud/Citrus) ensuring accuracy of records, including gift entries, donor acknowledgement letters and donor reports. This person works closely with Maxwell’s Senior Director for Budget and Administration, the Assistant Director for Stewardship and Engagement, as well as academic departments and center/institute directors to ensure funds are expended appropriately and donors receive timely reporting and stewardship.

This person oversees fundraising appeals and manages online development systems/processes for digital and mail solicitations for the Maxwell School. The Assistant Director also leads engagement and contact with the Maxwell School Advisory Board, primarily by directing planning of two in-person meetings annually, with additional engagement throughout the year.

Qualifications

Bachelor’s degree required with 2+ years administrative, higher education, student services, or managerial experience. Experience working in philanthropy and with donors strongly preferred.

  • Minimum 5 years of experience utilizing and managing databases, such as Blackbaud/Citrus and iModules
  • Team player; able to multitask and thrive in a fast paced, demanding environment
  • Able to work under pressure, managing many projects at the same time
  • Effective communication, presentation and interpersonal skills
  • Advanced Microsoft Excel skills
Responsibilities
  • Maintains an efficient system for managing and tracking gifts, including gift processing, acknowledgement letters, and recipient reports, ensuring the Maxwell School’s timeliness of stewardship practices and regular communication with donors.
  • Validates fundraising reports, ensuring correct fund allocation and accurate data, updating contact data and information and monitoring projections.
  • Manages all Maxwell School campaigns through administrating and managing iModules, coordinates email campaigns, digital marketing, and integration among systems.
  • Generates data queries for all campaigns and produces the first draft of fundraising appeals.
  • Tracks all development communication projects to timely completion.
  • Creates and manages constituent lists/gift entries, requests appropriate campaign data retrieval and donor giving forms with appropriate appeal code in collaboration with Philanthropic Engagement.
  • Subject matter expert and faculty/staff go-to person for restricted funding.
  • Manages restricted funding in partnership with Maxwell’s Senior Director of Budget and Administration, ensuring academic departments, centers/institutes and faculty/staff administering restricted funds are utilizing funds appropriately and timely. This includes tracking internal grants, scholarships and other uses of restricted funding, and providing analyses of restricted funding and reporting deadlines to program leaders.
  • Works with Assistant Director of Stewardship and Engagement throughout this process to ensure there is corresponding stewardship for restricted funding accounts.
  • Manages all Maxwell School campaigns through administrating and managing iModules, coordinates email campaigns, digital marketing, and integration among systems.
  • Generates data queries for all campaigns and produces the first draft of fundraising appeals.
  • Tracks all development communication projects to timely completion.
  • Creates and manages constituent lists/gift entries, requests appropriate campaign data retrieval and donor giving forms with appropriate appeal code in collaboration with Philanthropic Engagement.
  • Leads production of communications/written materials critical to each aspect of the School’s fundraising process, to include solicitation letters, acknowledgements (for Dean, Assistant Dean, DOs, and Academic Departments) and Assistant Dean/Dean briefs ahead of travel/high-level alumni campus visits.
  • Oversees process for all Maxwell School solicitation letters from start to finish, including email campaigns.
