Position Summary:  

 

Maintain and augment the database for the William James INTERFACE Referral Service, a mental health resource and referral Helpline which serves over 60 communities across Massachusetts and supports 3 statewide initiatives. The provider database, currently comprised of over 10,000 profiles for individual and group mental health practices, organizes information regarding provider location, including telehealth, availability for services, professional licensure, ages treated, specialties, and insurance or fee requirements, which enables the INTERFACE Referral Counselors to quickly locate potential matches for each client’s needs.

Responsibilities: 

  • Create and update clinician profiles, using publicly available directories, practice web sites, recommendations from colleagues, community partners, and existing providers.
  • Maintain and add to database for therapeutic groups, including regularly reviewing available information to ensure it is current and that groups are still available, especially for publicly viewable databases.
  • Contact providers and practices by phone and email to explain INTERFACE Referral Service, obtain specific information, and encourage provider review of the profiles for accuracy. 
  • Regularly review and update provider profiles in response to information gathered by Resource and Referral Counselors as well as provider inquiries.
  • Represent the INTERFACE Referral Service to the provider community including maintaining contact and engaging providers to ensure interest and availability for referrals from the Resource and Referral Counselors.
  • Document all steps of the Outreach process in the administrative section of the profiles.
  • Verify professional licensure and monitor the licensing boards’ public announcements of disciplinary actions. Request documentation of actions taken, summarize, and forward for review by supervisors.
  • Participate in meetings regarding incoming business and respond to needs from the Counselors working on referrals in various capacities to proactively improve resources available in the provider database.
  • Train and supervise student intern(s), or graduate work study student(s) at William James College, who are assisting with Outreach work.
  • Attend regular INTERFACE staff meetings.
  • Make recommendations to the technical support team regarding improvements to the provider database to improve communication with providers and Resource and Referral Counselors.

Qualifications:

  • Organization and attention to detail. 
  • Comfort with phone outreach. Talking points and message templates are provided.
  • Good writing skills.
  • Ability to be a self-starter and work independently.
  • Outstanding ability to manage time effectively and prioritize a variety of tasks from various stakeholders involved in the William James INTERFACE Referral Service process.

The Provider Outreach position is unique within the INTERFACE team, as it involves no contact with the clients, but it is an integral and valued part of the team, with regular attendance at team meetings and frequent consultation with individual referral counselors and the clinical supervision leadership.
