The overall organization and tracking of the Museum's permanent collection and objects on loan (approx. 1,900 objects) by day-to-day management of the Museum's collections database, the physical handling of Museum's artifacts, antiquities, contemporary artworks, and making visual resources digitally available. Coordinates the publication of the collection via the website, and supplementary resources tied to the objects in museums collection. Generate appropriate paperwork for the tracking of loans to and from the museum, acquisitions to the collection and for proper collection maintenance. Digital content production, digital photography production and editing. Produce and internally or as a public facing educational resource. This position also manages all media requests for publication, such as, photos for academic articles to be published. Work with museum staff on educational projects and outreach as it relates to the museum's collection.

Major duties and responsibilities

Collection Administration & Operation:
  • In close collaboration with the Museum Director and Exhibition Designer, organize between 100 - 200 incoming and outgoing objects annually for temporary exhibitions.
  • Establish and maintain object handling standards as well as collection database standards by producing policy and conducting trainings for all staff and student assistants that work directly with the collections physical objects or the collections database.
  • This position is also responsible for maintaining accessibility standards for all public facing educational and digital content.
  • Maintains and develops the existing museum educational programs related to museum objects.
  • Also, works in collaboration with the museum's Marketing, Membership, and Engagement Coordinator, actively show casing the museum's visual resources and incorporating the museum's collection into educational programming.
  • Maintains and develops the Museum's Volunteer Docent Program by organizing monthly meetings and recruiting and training new docents in giving tours.

Collection Research & Development:
  • Regularly updates the permanent collection, extended loans, and temporary loans that the museum works with by establishing condition reports for all objects, creating, and filing loan agreements and ensuring borrowed works, and making all shipping arrangement between lenders.
  • Annual assessment and check in on artworks installed on campus, outside of the museum.
  • Incumbent serves on the Museum's Acquisition Committee and assists with the generation of the agenda, minutes and deeds of gift.
  • In development of the collections visual resources this position identifies gaps in the collections current resources and produces content to fill those gaps.
  • Additionally, stays up to date on professional standard for collections care and developing technologies related to visual resources.

Cataloging & Reference Services:
  • This position is also responsible for acquiring, logging, and generating reports on all object information for temporary exhibitions.
  • Generate appropriate correspondence and paperwork for the tracking of loans to and from the museum, acquisitions to the collection and for proper collection maintenance.
  • Works closely with Museum's staff including the research Egyptologist and visiting scholars to conducts research on objects in the collection and expands data fields available for all objects within the Museum's collections database.
  • Ensures that all new acquisitions are properly packaged, stored, and creates new entries for the acquired objects and fills all required fields about the object into the database.
  • Manages the Cal State system mandated audit every 3 years of the Cal State assets that are entrusted to the Museum's care.
  • Serves as a liaison between faculty, students, and researchers and the museum's collection.
  • Can serve as facilitator and public face to the museum's educational programs through workshops, tours, panel discussions, and lectures.
  • Responsible for the continued updating of the collection information and access to the collection through the museum's website.
  • Other duties deemed appropriate by the administrator.

Minimum Qualifications: Required Education and Experience
  • Masters' degree in fine arts or library science with applicable courses in the fine arts preferred, or equivalent training and experience.
  • Two years of related curatorial, library or collections management experience.

Required Qualifications

A thorough knowledge of art, art history and/or architecture; a sound foundation in principles and practices of library cataloguing and circulation; and the ability to organize and operate a visual resource collection under general supervision. A general knowledge of analog and digital image production, research sources and copyright and intellectual property laws are also essential to the performance of this work. Some collections may require a reading knowledge of a foreign language and more extensive knowledge of world history, literature, and religion.

Preferred Qualifications
  • Experience with museum registration, care, and management. Familiarity with collections management software and comfort utilizing collection database software.

Compensation and Benefits:

Anticipated Hiring Range: $3733- $4800 per month

Classification Salary Range: $ 3,733 - $6755 per month

Schedule: Monday - Friday 8:00am - 5:00pm. Evening and weekends as needed.
