Description:
Performs administrative and office support activities for director and staff. Responsibilities may include processing paperwork, screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and statistics data; training and supervising Graduate Assistants and student workers; and customer relations. Requires computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside federal, state, and local governments and agencies. Sensitivity to confidential matters is required.
Responsibilities:
- Assist International Education Office with establishing and
attaining departmental goals and objectives.
- Help the office process the paperwork for international
students and study abroad students.
- Assists OIE with planning, organizing, and coordinating
administrative duties.
- Collect data from various sources and analyze for accuracy,
completeness, and relevance.
- Organize cultural events, activities, international student
orientations, workshops, field trips, Parade of Nations,
international education weeks, etc.
- Process international student insurance.
- Help advisors prepare statistical, technical, financial and
confidential reports, charts, and graphs.
- Disseminate important policy and procedure information to
international students, faculty, and staff.
- Act as a liaison with other departments and agencies regarding
inventory control, building services, equipment maintenance and
repair, purchasing, safety and other administrative
matters.
- Schedule and coordinate appointments/meetings, special
projects, travel, agent visit, data compilation, and respond to
students' inquiries and emails.
- Answer, screen, and transfer calls.
- Receive and direct visitors for the Office of International
Education.
- Perform other duties as assigned.
Qualifications:
- High School Diploma or GED.
- Four (4) years of increasingly responsible administrative,
clerical or office experience.
- Additional education may be considered as a substitution for
the minimum experience requirements.
- Intermediate skills in Microsoft Office Suite (Word, Excel,
PowerPoint, and Outlook), computers, and internet
research.
- Demonstrated ability to apply knowledge in everyday work
situations while utilizing independent judgment and
flexibility.
- Excellent communication and interpersonal skills.
Preferred Qualifications:
- Technical training in administrative assistant, business,
computers, or related area.
- Knowledge of Banner, Adobe, and Google survey, etc.
- Experience working with diverse populations.
