Position Summary

The School of Architecture and Planning is seeking an Events Coordinator to direct and execute a wide range of events and programs in support of an inclusive and enriching student experience and new engagement opportunities with public and professional audiences.

The scope of the position spans Commencement, our public lecture series, an annual open house and School-wide exhibition, support of professional advisory boards, and facilitation of alumni and donor programming. Areas of oversight include event planning, project management and event logistics, outreach and promotion, event budgeting, and on-site event management.

Reporting to the Director of Communications, the Events Coordinator will routinely interact with all levels of the School’s administration and academic support staff, as well as faculty students, alumni and UB campus offices in Alumni Engagement and Advancement. The Events Coordinator will also work with both on-campus and off-campus service providers such as caterers, equipment suppliers, event sponsors and partnering organizations, photographers, and other vendors and partners as needed.

Key responsibilities include:
  • Working collaboratively with individuals hosting events to ensure all functional needs and event goals are considered and resources are identified.
  • Developing and managing event workplans, timelines, and budgets that support event goals and objectives.
  • Providing logistical support for events, including booking venues, coordinating IT and AV needs, ordering food and beverage, supporting speaker and guest itineraries and accommodations, coordinating event space, facilitating event marketing needs, and managing on-site staffing and support.
  • Developing outreach and engagement strategies that build participation among key stakeholders, including professional partners, industry and community leaders, interested publics, alumni, friends, and donors.
  • Developing templates and systematic approaches that support efficiency and consistency for event management across the School.
  • Conducting post-event procedures including reporting and participant outreach.
