General Description
Under general supervision, requiring the use of independent judgment, initiative and decision making, provides administrative and clerical support for the Records Evaluation area (Graduation Unit). Primary responsibility will involve evaluating student records to determine eligibility for graduation. Additionally, the employee must be knowledgeable of related College academic procedures as they impact curricula and program requirements and be proficient in all phases of registration and records maintenance. Hours: 8:30 am to 5:00 pm including occasional extended hours and Saturdays.
Specific Responsibilities
- Evaluate student records to determine graduation eligibility and resolve graduation-related problems.
- Prepare individual correspondence to notify students and departments of issues related to graduation standing.
- Process and review of dynamic forms and routing and updating course substitutions request.
- Process and prepare diplomas.
- Prepare and process forms, records and reports using Banner, MS Word and Excel.
- Assist with Commencement preparations and activities.
- Train integral staff to assist with related job functions, as directed.
- Prepare and organize work for work study students and provide training as needed.
- Provide backup support for Enrollment Central counter, as needed.
- Communicate any functional and business process issues to supervisor or appropriate administrator.
- Maintain knowledge base regarding College academic procedures, curricula and program requirements to perform job duties.
- Maintain knowledge base regarding Enrollment Services, i.e. admissions, placement, registration and records maintenance, to perform job duties.
- Adhere to FERPA regulations as they pertain to maintaining the security and confidentiality of all student records, as well as maintain the confidentiality of other documents on behalf of the work area and the College.
- Maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty and staff of varying social, economic, cultural, ideological and ethnic backgrounds.
- Perform assigned duties in a manner consistent with the mission, goals, and core values of the College.
- Deliver quality customer services to both internal and external constituents in a professional, helpful and courteous manner.
- Process National Student Clearinghouse degree verification requests.
- Upload individual degree completion to National Student Clearinghouse as necessary.
- Perform other duties as assigned.
Minimum Qualifications
- High school diploma or its equivalent (e.g., GED ) required.
- Minimum six (6) years work experience in administrative or clerical support positions with a diverse population in human services, education, or customer service settings required.
- Excellent communication (oral and written) and interpersonal skills in all media (phone, face-to-face, and email) to effectively communicate with students, the general public, and College staff and faculty required.
- Strong organizational, record keeping and time management skills required.
- Ability to maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds required.
- Professional appearance and demeanor required.
- Ability to work extended hours and an occasional Saturday as needed required.
Preferred Qualifications
- Associate's degree is preferred. Any and all degrees must be from a recognized institutional accreditor.
- Previous work experience in higher education setting is preferred.
- Demonstrated proficiency with MS Word and Excel required; prior experience working in a Banner or equivalent environment preferred.
- Knowledge of FERPA (Family Educational Rights and Privacy Act of 1974, as amended) preferred.
