Purpose of Position
This position will assist the Dean of the College of Education by ensuring they receive timely and
relevant information related to meetings and events, this includes: managing their calendar, coordinating travel arrangements, assisting with monitoring compliance training completion, and helping to prioritize tasks and timelines.
Will also manage the logistics of events and programs hosted by the College. The position will act as administrator of College Strategic Initiatives and other tasks, this includes: acting as a liaison for Implementation Teams, tracking metrics across teams, and reporting data from databases to inform the strategic direction of the College.
Will also perform marketing duties including acting as liaison to MarComm to update the website and create/distribute marketing materials. The position will also use social media platforms to increase the visibility of the College.
Primary Responsibilities
Assist the Dean of the College of Education – ensure he/she receives timely and
relevant information related to meetings and events, including:
• Manage his/her calendar, exercising sound judgment among competing priorities
• Provide or create him/her with relevant materials for upcoming meetings
• Coordinate local, national, and international travel arrangements
• Assist with college correspondence and monitoring of compliance for faculty/staff
training
• Manage the Dean’s responsibilities and assist with prioritizing required tasks and
timelines
Event Management – manage logistics of major events and programs hosted by the
College of Education, including but not limited to:
• Schedule facilities, equipment, and catering as needed
• Coordinate RSVP lists and seating charts
• Create event invitations and other event marketing materials
• Creating and distributing a calendar of events
• Communicating with attendees prior to and following events, collecting, organizing,
and reporting on success outcomes
• Those events and programs may include the College Convocation, events and
workshops hosted by College Centers, Student Awards, Board Meetings, Student
Advisory Council Programs, Alumni Dinners, CAEP Advisory Council Events, Donor
Events, and Graduation Events
Administration of College Strategic Initiatives and Other Tasks
• Liaison with Implementation Teams to support strategic initiatives with resources,
budgetary information, and coordinated communication
• Track metrics, outcomes, and progress across strategic teams
• Provide administrative support for college-level meetings
• Track and report data from various university databases to inform strategic directions
of the college
Marketing Responsibilities
• Liaison with MarComm and the College Leadership Team to update the college website with accurate, relevant, viewer-friendly highlights and information
• Liaison with MarComm, the college Advising Center, and the College Leadership
Team to create and distribute marketing materials for appropriate audiences
• Use social media platforms to increase the visibility of college events, initiatives,
faculty, staff, and students
Qualifications
Minimum bachelor’s degree with 2 years related work experience (or 3 years experience as an Administrative Assistant) and 1-year related management experience.
Must have experience with Microsoft Office Suite and preferably experience in higher education administration, business management, or student support services. Must have skills related to communication, creating surveys, and managing data.
Must have some training in website maintenance or other marketing training. Must have demonstrated the ability to multi-task, meet deadlines, and work in a fast-paced environment.
The position requires both long periods of sitting at a computer and also times of walking items around campus.
Occasional lifting of boxes of paper, stationery, event supplies, etc. Must have a valid license and access to a dependable vehicle.
