CONTEXT OF THE JOB:

The College of Arts and Sciences (CAS) at the University of Delaware is nationally recognized for its exceptional educational experiences and for integrating instruction, research, and public engagement. With 24 academic departments in the arts, humanities, social sciences, and natural sciences, more than 25 centers, programs, and institutes, and featuring outstanding research and teaching facilities, CAS serves over 7,500 students, is supported by approximately 400 staff, and maintains annual operating expenditures of over $121M. The Colleges 600 faculty members emphasize the enduring value of an arts and sciences education and a deep commitment to excellence in scholarship and all forms of creative and intellectual expression, with sponsored research expenditures totaling more than $38.6M per fiscal year.The Department of Psychological and Brain Sciences is housed within the College of Arts and Sciences and offer nationally recognized graduate and undergraduate programs. The Department currently consists of 34 tenure track, continuing track, and temporary faculty, 5 administrative staff, 27 research focused staff, approximately 1200 undergraduate students, 72 graduate students, and 2 postdoctoral trainees. Annual departmental research expenditures total approximately $4.0M per year, with a total department budget of over $9.6 million per year. The Department also service many undergraduate students, with over 6,500 taught each year in approximately 95 class sections per semester.The Academic Advisor II is responsible for providing academic advisement to the Departments undergraduate junior and senior-level student population and will be assigned to serve students within the department. The Academic Advisor II also assists with programs and events for the recruitment of prospective students. The Academic Advisor II directly reports to the Academic Program Manager, and works closely with UAS, with a dotted-line reporting structure, to address student issues and concerns, and to verify that advising policies and procedures are being followed.The Academic Advisor II in the Department of Psychological and Brain Sciences is an integral part of the course scheduling team and works closely with the Business Administrator, Academic Program Manager and the Director of Undergraduate Education and faculty to support curriculum development and the schedule of courses for each term.

MAJOR RESPONSIBILITIES:

  • Provide advisement services to Department juniors and seniors, beginning at the start of their junior year and up to graduation, guiding them to formulate educational goals and to make appropriate educational decisions to reach their goals. In applicable programs, provide advisement services to Department first-year students and sophomores.
  • Provide course recommendations to students using departmental four-year plans, the undergraduate catalog, and other academic-related resources as a guide, facilitating timely degree completion, student success, and UD's Finish in Four initiative.
  • Assist students and Associate Chair with registration and scheduling issues, drop/add, overrides, transfer credit evaluations, change of registration without penalty, registration holds, and general advisement questions.
  • Monitor the progress of assigned student populations and conduct outreach about advisement, especially to those in special academic circumstances, to improve graduation and retention rates.
  • Utilize the Student Success Collaborative (SSC) retention platform, Blue Hen Success (BHS), to note advisement interactions, schedule advisement appointments, conduct targeted advising campaigns, and conduct proactive, targeted outreach to specific student populations.
  • Work with UAS to review questions about degree checkouts for graduating seniors, when applicable.
  • Maintain regular contact with UAS and other academic units for the purpose of collaboration and sharing academic information.
  • Coordinate academic advisement with other campus units and refer students to appropriate academic/student service departments and support services.
  • Interpret policy, explain GPA and academic standing, review transfer credits, and provide guidance on majors, minors, and other related academic matters.
  • Audit degree program requirements for individual students and disseminate accurate and up-to-date academic information and policies to students, faculty, and others.
  • Work with the Chairperson, Department faculty, Academic Program Coordinators, Academic Support Coordinators, and other Department staff members to explain and interpret academic policies, and train department staff and faculty on program requirements, curriculum, and policy. Develop advisement materials addressing issues unique to 400 majors and minors.
  • Provide information and referrals to students seeking assistance due to academic concerns.
  • Provide support and referral services to students, working with offices such as the Office of the Dean of Students, the Office of Student Conduct, the Center for Counseling and Student Development, the Career Center, the Office of Admissions, and the Office of Residence Life and Housing.
  • Work closely with the Department Chair, Associate Chair, faculty, and Academic Program Coordinator to plan each semester's course schedule. Review the schedule to ensure that student needs are met and to check for accuracy and completeness. Work with the Academic Program Coordinator to monitor course enrollments and share updates with department leadership.
  • Manage and update students' files and records. Check various forms for accuracy such as grade checks, overload petitions, and curriculum changes; assist students in the completion of required forms that may contain confidential information.
  • Interpret and explain College and University policies and procedures to parents and prospective students as well as to current students and faculty.
  • Participate in and support recruitment via admission and pre-admission activities.
  • Coordinate with UAS and Department Chair on department-specific New Student Orientation, when applicable.
  • Assist in the development and coordination of a variety of academic-related programs and workshops.
  • Conduct and/or facilitate data analysis as needed for the purpose of assessing satisfaction with advising services and student success metrics.
  • Research and manage information pertaining to alumni jobs and long-term career tracks. Work with the University's Alumni Relations and Development Offices on tracking alumni.
  • Approve Change of Academic Plan webforms and assign advisors in UDSIS for 2 majors and 3 minors within the Department.
  • Provide backup to the Department Academic Program Coordinator in the areas of inputting course schedules into UDSIS and Course Catalog edits.
  • Assists with special projects and performs miscellaneous job-related duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree and three years of academic advising experience, or equivalent combination of education and experience. Degree in student personnel, college counseling or related field preferred.
  • Experience in serving and advising large, diverse groups of student populations preferred.
  • Effective leadership, organizational, interpersonal and communication skills.
  • Ability to evaluate student transcripts and/or records.
  • Ability to present effectively to small and large groups.
  • Ability to work productively with a wide range of constituencies in a diverse community.
  • Ability to grasp, retain, and disseminate an extensive and varied body of information.
  • Ability to exercise sound judgment and employ decision making skills.
  • Knowledge of academic standards governing student probation, suspension, and/or expulsion and student recruitment and retention issues.
  • Ability to communicate with students about their course prerequisites, certification, and/or curriculum/graduation requirements.
  • Advanced working knowledge of advisement policies, procedures, systems, regulations, and standards at the university level.
  • Strong analytical and critical thinking skills and ability to analyze, summarize, and effectively present data.
  • Proficient computer skills including use of presentation software and Excel. Experience with PeopleSoft (and/or UD's system, UDSIS) and retention or student success software (such as Student Success Collaborative) preferred.
