Special Information

  • This position is a hybrid position which allows the incumbent to complete their work at both an NAU site, campus, or facility and at a non-centralized site with or without accommodation.
  • This position is subject to the availability of funding. The incumbent is not eligible for Classified Staff layoff or recall status.
  • This position is posted as Continuing Education Coordinator, Intermediate, which is a working title. The NAU system title for this position is Academic Program Coordinator, Intermediate.
  • This position may be located anywhere in Arizona, working remotely, although the person in the position must be available to work in Flagstaff for several weeks in July every year in order to facilitate educational programs on campus. This position requires Arizona residency at the time of employment.
  • There may be occasional travel. The employee may at times be required to work beyond 40 hours per week in order to complete assignments. Some evening and weekend work may be required.


Job Description

Continuing Education is a new unit at NAU since 2020 and is expanding to serve youth and industries in the workforce. Continuing Education supports Academic Affairs with comprehensive workforce analysis reports for new programs and institutional planning. Administrative support is needed in several key areas to facilitate further program growth and ensure high-quality service to the University, partners, and Continuing Education learners. This position will provide program logistics and planning, communication with faculty, learners, and parents, copy editing and quality assurance on workforce reports, database oversight (Canvas Catalog), copy editing of course descriptions, catalogs and fliers, and instructor bios, and assisting the Director with the timing, creation and distribution of marketing materials, managing course documents and lists, and supervising student workers.

Non-Credit Course Development and Logistics - 50%
  • Assist Director with non-credit course development. This may include a variety of general administrative tasks, including research to complete reporting, communications with internal and external stakeholders/faculty/students, entering information into NAU systems to “build” courses in the learning management system, and other tasks as requested by the Director.
  • Coordinate course logistics that include:
    • Communicating with faculty to gather course information
    • Obtaining faculty biographical information
    • Scheduling rooms for classes
    • Managing the course entry into NAU's Canvas Catalog system
    • Ensuring courses and faculty are compliant with NAU guidelines on youth programs.
  • Assign and oversees the work of student employees to assist with course logistic steps.

Communications - 30%
  • Communicate with Continuing Education learners and parents of learners to provide information about:
    • youth curriculum and supervision,
    • course locations, dates and times, and
    • logistics necessary for learners and their parents to plan for attending classes.
  • Communicate with external audiences about course offerings and assist with coordinating, proofing, and distributing of marketing materials and digital products that advertise courses and programs.
  • Provide assistance with online course tools, like course shells, login information, password reset, and assistance and other pertinent information to set up the learner for success.

General Administrative Support - 15%
  • Attend meetings where discussions inform reports that drive University decisions about current and future programs and assist with notetaking. These meetings are led by the Continuing Education Director, and include faculty, and other stakeholders who inform the reports. Assist with proofreading and copy-editing these data-driven reports that are compiled by the Senior Business Analyst.
  • Provide general administrative support to the Continuing Education program including managing documents and workflow, creating forms, managing general communications, etc.

Other - 5%
  • Perform other duties as assigned.

Work Environment
  • The position will largely work indoors. The position requires the employee to occasionally move boxes that weigh 25 pounds, with or without accommodation.


Minimum Qualifications

  • Bachelor's degree in a relevant field of study.
  • 2-4 years of relevant experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • Experience with program management.
  • Experience with Adobe software.
  • Experience in higher education.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. If you are applying for a job that requires a CDL, you will be required to register with the Federal Motor Carrier Safety Administration Drug & Alcohol Clearinghouse and adhere to the clearinghouse requirements. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Anticipated salary range is $41,421 - $44,000. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
