Job Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks an Administrative Assistant – Office of Financial Aid to promote our Catholic Franciscan mission and identity by operating as the responsible person shall schedule appointments, provide information to callers, interact with walk-in traffic and otherwise relieve officers of clerical work and minor administrative and business details.

Essential Duties and Responsibilities:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values and honoring the legacy of the founding congregation through transformative education, unity in diversity, leadership through service, integrating faith and life, and institutional policies.
  • Answer telephone and provide information to callers and/or routes call to the
    appropriate officer.
  • Greets visitors, ascertain nature of business, and route visitors to the appropriate person or
    department.
  • Play a major role in assisting in the document tracking/collection process, including tracking and routing incoming mail.
  • Matches financial aid paperwork received with the appropriate individual student files.
  • Upload/Scan financial aid documents into SoftDocs System once available
  • Trains and supervises work-study students. Prepares and submits bi-weekly timesheets for those workers.
  • Maintains calendars of office staff.
  • Prepares outgoing mail, including routine correspondence such as award letters and missing document request letters.
  • Orders office supplies in anticipation of need.
  • Other projects as assigned by the Director.
  • Other duties may be assigned.

Required Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty
satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or
ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • One to two years related experience and/or training preferred in higher education setting; or equivalent combination of education and experience.
  • Associate’s or Bachelor’s degree preferred.
  • Must be computer proficient and have excellent communication and interpersonal skills.
  • Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents.
  • Must be able to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to effectively present information to the college and community.
  • Must be able to add, subtract, multiply, and divide in all units of measure, using whole
    numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percentages.
