Class Description

The purpose of this class is to provide part time professional level administrative support services to the Training and Organizational Development in the Human Resources Department. Set up and maintain employee training records. Coordinate and disseminate training information.

Minimum Requirements

Bachelor’s degree and three years of related experience in administering training opportunities for an employee population. Training experience and organizational development experience in an academic environment preferred. Three years’ experience in higher education preferred.

Class Specific Essential Duties

  1. Coordinate New Hire Orientation (NHO) – work with Training and OD staff to determine annual calendar of NHO sessions. Collaborate with Benefits and IT to coordinate Part A, B & C workshop dates annually. Coordinate schedule with facilitators from key departments across the college. Maintain MS Team with current resources for newly hired faculty and staff. Prepare sign in sheets and track NHO attendance. Attend NHO to assist in facilitating the workshop and managing transitions between speakers. May deliver introduction modules consisting of CCBC history, etc.
  2. Work collaboratively with Training and OD staff and HR leadership to coordinate faculty and staff training including, Sexual Misconduct Prevention, Administrative Support Assistants’ Academy, Supervisors’ Boot Camp, CCBC Basics, and other HR training programs.
  3. Monitor staff compliance with mandatory training programs, including Sexual Misconduct Prevention (SMP), Cyber Security and Bloodborne Pathogens. Utilize Power BI, Banner and MS Excel to generate reports reflecting staff compliance. Collaborate with Manager, Training and OD to promote successful completion of required training by faculty and staff by developing and disseminating information regarding required training or lapses in compliance. Responsible for ongoing communication with Administrative Assistants to VPs regarding staff compliance. Prepare stipends for adjunct employees after successful training of Cyber Security and SMP.
  4. Use Banner Flex Reg to build training courses for Training & OD and all HR units. Ensure accuracy and timeliness of course information. Update course information to reflect participant attendance at the conclusion of all training programs. Respond to employee inquiries or registration problems. Maintain training program registration. Work with staff in Information Technology and the Registrar’s office to maintain software and resolve issues.
  5. Develop brochures, flyers, emails, PowerPoint presentations, hand-outs, sign-in sheets, and other methods to communicate Human Resources training programs to CCBC staff and faculty. Create and provide ongoing information about a comprehensive program of professional development opportunities, offerings and resources to faculty, administrators and college staff members in person, via email, voicemail and other college communication channels in order to solicit maximum participation.
  6. Assist with annual Professional Development Conference (PDC) by becoming a committee member and working with HR leadership on assigned tasks. Assist with special projects, meetings, workshops, conference, and other special events hosted or co-sponsored by Human Resources.
  7. Monitor faculty and staff participation in HR training programs. Prepare and analyze monthly and quarterly reports reflecting training efforts for use in determining future training programs. Use MS Forms to develop training surveys for all HR training and report results to Manager, Training and OD.
  8. Utilize CCBC Classroom Reservation System for scheduling space for training, meetings, and events as needed.
  9. Develop the ongoing training calendar. Provide input on frequency of reoccurring training based on experience. Maintain the calendar and ensure it is posted on the intranet under HR Training and Organizational Development. Send calendar invites to faculty and staff registered for training programs.
  10. May provide basic training to other administrative professionals on MS Office products or other topics including improving organizational skills, managing multiple priorities, etc.
  11. Serve as a liaison between HR- Training and Organizational Development and other offices or organizations.
  12. Complete work orders and other logistical request forms (IT, Facilities Operations, room reservations, food, etc.) in association with workshops, conferences, and events.
  13. Create and track check requests, requisitions, work orders and other request forms.
  14. Process incoming and outgoing mail.
  15. Attend staff meetings and maintains meeting minutes.
  16. Maintain supporting checklists and ensure efficient and effective supporting processes.
  17. Maintain current knowledge of supporting laws, regulations, and trends. Collaborate on training requirements and modifications and software revisions. Maintain current knowledge of CCBC’s training requirements, policies, and practices.
  18. Provide superb customer service using effective listening skills and ensuring timely resolution or triage. All initial responses should be made within 24 hours of an employee call or email.

Adjunct Faculty, Part Time Associates and Full Time employees are eligible to save for retirement using the Roth 403(b) savings feature. Employees may contribute traditional pre-tax 403(b) dollars and Roth 403(b) post-tax dollars simultaneously. The savings limits are combined for the Traditional 403(b) and the Roth 403(b) contributions.
  • Deferred Compensation Plan — 457(b) offered through VOYA Financial Advisors, Inc. The 457(b) salary reduction authorization form is needed. The form is available on SharePoint Forms/Human Resources Forms.
