Position Summary

The Routing Dispatcher III provides coordination and communication with these various constituents, verbally and in writing, to ensure all pertinent information is relayed in a consistent, efficient manner. The position interacts with other Physical Plant Foreman, Heating Plant staff, Grounds staff, Building Services staff, and Support staff.

Essential Duties and Responsibilities

WORK ORDER DESK DUTIES – 45%
  • Receive telephone and other request for repairs and/or services and dispatches the information relative to such requests to the appropriate staff and/or craft
  • Direct the interactive communication flow of work order request in the work order to ensure that all pertinent information is obtained for the creating of accurate and precise work orders
  • Uses the Work Management System to convert requests for repairs and/or services to FM work orders and assign to proper craft
  • Provide information and/or feedback to Physical Plant staff, Heating Plant staff, Grounds staff, Building Services staff, and support staff, regarding work orders and work order requests
  • Provide feedback/updates to requestors on already submitted work orders
DATA ENTRY – 40%
  • Daily entry of staff timecards
  • Other data entry assignments as assigned
ADDITIONAL DUTIES -10%
  • Perform Office Support duties in the absence of other Physical Plant personnel as required
  • Organize, file, and maintain all source documents prior to and after data entry procedures
  • Supervises the routing office in the absence of the supervisor
  • Oversee other work as assigned
OTHER DUTIES AS ASSIGNED -5%


Minimum Required Qualifications (Civil Service)

MINIMUM REQUIRED QUALIFICATIONS :
  1. High school diploma or equivalent.
  2. One (1) year (12 months) of experience as a Routing Dispatcher II .



KNOWLEDGE, SKILLS AND ABILITIES (KSA’S):
  • Knowledge of job order systems and accounting procedures.
  • Knowledge of craft jurisdiction and building trade terminology.
  • Ability to take and accurately transcribe dictation of average difficulty over the telephone, if required by the position to be filled.
  • Ability to type rapidly and accurately.
  • Ability to make decisions and maintain poise under pressure.
