Job Summary

Education Support Services (ESS) provides world-class audiovisual and instructional support, event and media production, training, and consulting services to faculty, staff, and students in the Faculty of Arts and Sciences (FAS). The team supports the school’s mission by delivering premium technology offerings that enhance and creatively advance the teaching & learning environment. ESS is comprised of six service groups: Teaching & Learning Support, Design & Engineering, Event & Media Production, Language Center, Assistive Technology Services, and Piano Technical Services.

This position supports Education Support Services operations across the Cambridge campus from 2:00 – 10:00 pm, M-F. The AV Operations Coordinator is responsible for receiving and dispatching AV support for classes and events when daytime staff members are out of the office (typically from 4:00 – 10:00 pm), ensuring that scheduled work, including room checks and the setup and breakdown of equipment, is performed to high standards of quality and in a timely fashion. The incumbent will organize the work of media technicians, contingent workers, and student workers to meet defined service goals, and will perform triage and dispatch using ESS’ ITSM platforms in the absence of the Triage & Dispatch Coordinator. This position reports to the Operations Manager.

Basic Qualifications
  • Technical school or AV service training beyond high school
  • At least 2 years of experience with videography, video, and audio editing
  • At least 2 years of experience with live event AV support
  • Proficiency with Microsoft Office Suite

  • Outgoing relationship builder, capable of establishing strong and effective working relationships with staff and management
  • Strong interpersonal and oral communications skills are essential, including the ability to deal diplomatically with a wide range of people
  • Experienced in real-time decision-making and rapid resolution of technical and other issues

  • Bachelor's Degree desirable

Position Description

The AV Operations Coordinator participates in the intake and calendaring of work requests and is responsible for their successful fulfillment during the hours of their assigned shift. This position liaises with Event & Media Production, coordinating the preparation of AV equipment for jobs that fall outside of daytime working hours. This position coordinates contingent worker and student worker support for classes and events occurring in Science Center lecture halls after 5:00 pm, ensuring that class sessions are well-supported and that teaching spaces are prepared for the following morning. This position coordinates with the Operations Manager to ensure that supplies are ordered for all offices and distributed as needed, and that purchased equipment and supplies are recorded in the appropriate system for inventory and circulation.

The AV Operations Coordinator performs administrative work as assigned by Operations Manager; e.g., inventory of portable equipment, updating calendars with received requests; entering, reviewing, and closing assigned tickets in ESS ITSM platforms. This position prepares documentation, including how-tos, knowledge base articles, workflow, and process documents, and supports data collection and aggregation needed by the Operations Manager for dashboarding and reporting. The Operations Coordinator produces nightly activity reports for the daytime shift. This position helps to design and deliver intra-department training on software and platforms used for organization and workflow.

The incumbent performs AV support work as needed, including setup/breakdown for class sessions and events, quality control for recorded material (Panopto), and starting and stopping automated recording sessions as needed. This position will also perform simple editing of video and audio as needed and contribute to the training of student and contingent workers on AV equipment and ESS processes in collaboration with other ESS technicians.

The position is responsible for ensuring that evening AV support across the Cambridge campus is performed at a high level of quality and in a timely fashion. Constituents include ESS technicians and management, faculty, staff, and students within FAS. The position works closely with FTE, contingent, and student workers, as well as faculty, staff, and students who use AV systems on the Cambridge campus.
