Job Summary
The Administrative Coordinator provides essential support to two major areas in the Office of the Dean for Academic Affairs. The Administrative Coordinator provides all logistical, data, and administrative support related to pre-major advising, in partnership with the associate dean for faculty recruitment and pre-major advising. In addition, the Administrative Coordinator will also provide ongoing support for grant processing specifically the INBRE grant as well as other grants working in partnership with the office of sponsored research and the controller’s office. The Administrative Coordinator provides ongoing and project-based oversight of and support for administrative needs in the Office of the Dean for Academic Affairs.
Responsibilities for these roles include:
- Providing logistical, data, and administrative management for pre-major advising in partnership with the associate dean for faculty recruitment and pre-major advising, Registrar’s Office staff, Student Affairs staff, and others as appropriate.
- Processing expenses and purchases related the INBRE grant.
- Coordinating with principal investigators (PIs), grant-funded staff, and department administrators on grant expenses and related administrative needs.
- Collaborating with the Office of Sponsored Research and the Post-Award Grants team within the Controller’s Office on INBRE grant-related questions, support, and reporting.
Education/Skills Requirements
Required:
- High School Diploma or GED equivalent
- Ability to exercise initiative and good judgment in execution of duties
- Excellent time management skills
- Superior customer service skills working with various department, colleagues, and team members
- Organizational project management skills
- Oral and written communication skills
- Ability to work across various offices to accomplish daily tasks
- Bachelors degree
Required:
- Minimum 2 years’ office experience,
- Experience in an academic setting
- Proficiency in Microsoft Word, Excel, Forms; Experience with Microsoft OneDrive, Zoom, Teams, Polaris, and Canvas strongly preferred.
- Familiarity with grant processing
- This position is full time year round working 37.5 hours/week, 52 weeks/year.
- Regular work schedule is between 8:30 – 5:00 (This schedule can be discussed with supervisor).
