Position Overview:

Manages multiple aspects of projects housed in and undertaken by the Center for Excellence in Transformative Teaching and Learning (CETTL). Coordinates the work activities for multiple functions to ensure satisfying outcomes. Deals in all aspects of multiple projects’ lifecycles that could include planning, scope definition, design, execution, and delivery. Tracks progress against milestones, budgetary guidelines, and other key performance metrics, and prepares reports to senior management. Assists with the selection, negotiation, and managing of activities regarding external consultants or vendors. Works with Assistant VP for Transformative Learning (TL) to help determine time frame, funding limitations, procedures for accomplishing projects, staffing requirements, and allotment of available resources to various phases of projects, including ongoing operations at UCO such as the Student Transformative Learning Record (STLR) and Broncho Blueprint initiatives as well as grant projects PI’d or co-PI’d out of CETTL. Helps establish work plan and multi-disciplinary staffing for project phases and arranges for recruitment or assignment of project personnel. May manage sub-contractors and their workforce. Coordinates activities of project personnel to ensure projects progress on schedule and within prescribed budgets. Manages status reports and modifies schedules or plans as required in consultation with AVP for TL. Prepares project reports for management, client, or others. Performs work under general supervision. Handles moderately complex issues and problems and refers more complex issues to higher-level staff. Possesses solid working knowledge of subject matter. This position will report directly to the AVP for TL. 40 hours per week with flexibility around CETTL projects on occasion. 8 hours per day with opportunity for flexibility about which 8 hours in any given day. Typically, a M-F position.

Department Specific Essential Job Functions:
  • Project manager for Broncho Blueprint. This will involve collaborating and coordinating with VP for TL, working with colleges and departments regarding class scheduling, faculty support, logistics, and scheduling.
  • Key support for grant projects headquartered out of CETTL. Historically, CETTL has managed multiple grants and their attendant budgets, reports and deadlines, benchmarking, and similar duties and requirements. This position will work with AVP for TL and others in CETTL who are involved in grant projects to support the success of all grant projects.
  • Key support for the work of CETTL, which includes faculty professional development via the 21st Century Pedagogy Institute (21CPI), STLR, and the Educators’ Leadership Academy (ELA). Specific responsibilities assisting with STLR’s Business Model operation and its work with institutions adopting/adapting STLR, which includes coordinating with the AVP for TL and STLR team on contracts and budgets, liaising with UCO’s Legal Counsel Office, and duties similar to those provided in grant support.
  • Assisting the 21CPI Director with the execution of UCO’s annual Transformative Learning Conference. This will involve working with the conference website, registrations, programming and scheduling, liaising with speakers, venue, hotel, vendors, etc., along with on-site conference assistance.
  • Assisting the AVP for TL in his leadership role with the DaVinci Institute and its Board. Take Board meeting minutes, prepare agendas and minutes for distribution, help with DaVinci’s annual solicitation of new memberships and renewals. Assist Board members in managing receipt of nominations for DaVinci Scholars and Fellows and the work led by Board members for the annual Awards Banquet. Assist with strategic planning carried out during the Summer Retreat and with programming and execution of the annual Fall Forum. Maintain currency of information on the DaVinci Institute website.
Job Level:

Effective Knowledge: Demonstrates skill at planning, organizing, and facilitating. Applies knowledge of employment regulations, policies, and procedures. Incorporates budgetary information to manage resources. May apply functional area expertise to solve problems.

Problem Solving & Judgment : Identifies and resolves issues; uses judgment to escalate where appropriate. Anticipates potential problems and recommend potential solutions.

Budget Authority: Limited signature authority for purchases or approving timesheets. within area of managerial responsibility. Provides input into budget development and may be responsible for monitoring and adhering to the budget.

Policy & Procedure Authority: Primarily responsible for monitoring policy compliance. May make recommendations regarding policy change. Limited authority to grant exceptions within specific parameters.

Reporting Relationships : Generally, reports to a Dean or Director. In very large departments, they may report to an Assistant Director or faculty chair. May undertake some responsibilities of the Director in his/her absence, but generally cannot act on behalf of the Director in their absence.

Qualifications Required:

Bachelor’s degree in field or equivalent work experience in field that provides knowledge of and exposure to fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results. Should have 3+ years of experience with maintaining budgets, requisitions, project timelines and benchmarks, organizing and tracking project contributors’ timeliness and submissions/contributions, and collection of satisfaction survey and similar data. Appropriate professional accomplishments and credentials.

Qualifications Preferred:

Microsoft Office Suite: database systems, information retrieval and analysis, database query design preferred. Experience in budget management and business/financial modeling.

Experience in updating information and material on websites.

Experience with tools used to communicate with large numbers of people, such as all faculty, Transformative Learning Conference attendees/potential attendees, etc. As one example, Constant Contact is this type of tool.

Experience with one or more event management tools. Specifically, here at UCO, Cvent (training provided).

Experience with grant budgets and reporting.

Knowledge/Skills/Abilities:

Project management skill to maintain projects’ advancement to completion.

Excellent oral and written communication skills and collegial presentation of self in representing CETTL, ELA, STLR, Broncho Blueprint, 21CPI, the TL Conference, grant-related entities and collaborators, the DaVinci Institute, faculty, students, administrators, etc. — it is important for all functions of CETTL that the person in this role work with those with whom we interact in respectful, helpful, and attentive ways.

Ability to update websites and liaise with technical personnel at UCO when the occasion demands. (This is not ‘heavy lifting’ regarding website work; rather, facility in updating information, dates, and so on should be possessed or acquired via UCO training immediately upon hire.)

Facility with budgeting: maintaining budgets, periodic budget reports, managing CETTL-related and grant-related budgets to ensure operations within budget constraints.

Ability to self-manage in a work environment where autonomy in accomplishing duties and meeting deadlines is valued.
