The opportunity:

Under the general direction of the Assistant Director, Talent Management, the Talent Management Coordinator provides support to the Talent Management team and is responsible for ensuring the optimal employee onboarding and offboarding experience for new hires. The role acts as the first point of contact for new hires and staff for creating and managing positions, recruiting and hiring, managing and tracking employment changes, originating pay changes, coordinating timekeeping, and managing onboarding appointments.

As part of the Human Resources team, the Talent Management Coordinator will serve as a collaborative HR partner and will interact with all departments of the College in assisting them with staff recruitment and onboarding, while maintaining the highest level of professional acumen.

Essential Responsibilities include, but are not limited to:

The Talent Management Coordinator is responsible for providing recruitment and onboarding assistance to applicants, hiring managers, and search committee members; monitoring email inquiries; initiating background clearance process (including ACT 153 where appropriate) and monitoring completion; trouble-shooting problems with the onboarding system; and training and assisting end users with onboarding.

Talent Management:
  • Evaluates the College’s current processes, tools, and resources and makes recommendations to increase effectiveness and improve the candidate experience.
  • Manages the day to day functions of the Applicant Tracking System (ATS), PageUp by, reviewing job descriptions, entering position descriptions, and job requisitions, and posting vacant positions at the start of the recruitment process.
  • Throughout the search, the Talent Management Coordinator monitors the candidate pools and appropriately dispenses candidates, manages oral and written communications with candidates and hiring managers, and provides support as needed to the hiring manager and search committee members.
  • Responds to applicant inquiries providing system support as needed.
  • Run reference checks on candidates of choice, and provide the hiring manager and the Assistant Director of Talent Management with the final reference report.
  • Upon notification from the Assistant Director, Talent Management, sends a candidate of choice offer letter via PageUp.
  • Closes out filled jobs in a timely manner.
  • Maintains working knowledge of all applicable policies and procedures and ensures process compliance with applicable rules, regulations, and policies and advises managers and employees.
  • Evaluates the College’s current processes, tools, and resources and makes recommendations to increase effectiveness and improve the candidate experience.
  • Assists with the creation and documentation of human resources recruitment processes, including workflow and job aid documents.
  • Screens applicants for eligibility and performs any necessary salary screens.
Onboarding:
  • Maintains timely communication with applicants by phone, written correspondence, and personal contact from the initial contact through the onboarding process.
  • Upon offer acceptance by the candidate, initiates the background check process according to the requirements of the position. This can include PA Criminal, Act 153, Motor Vehicle Requests (MVR) and credit checks.
  • Facilitates the onboarding process for new employees via the PageUp platform.
  • Partners with the Administrative Coordinator and HRIS Specialist to ensure all required onboarding documents (I-9, Vaccination Records, etc.) are accurately completed, collected, and stored in accordance to HR requirements.
  • Communicates with the Hiring Manager on any issues or concerns related to the onboarding process to ensure timely hires.
  • Updates offer letters as needed and maintains records related to onboarding processes for auditing purposes.
  • Supports new employee orientation.
  • Assists the Assistant Director, Talent Management with the temporary employee hiring processes, partnering with external agencies as necessary.
Employee Record Maintenance:
  • Creates memorandums for all changes in employment status, including but not limited to interim assignments, additional pay, extension letters, rehires, promotions and secondary jobs.
  • Maintains all employee documents in a well-organized manner scanning and uploading documents to electronic document management system, BDM.
Offboarding:
  • Initiates Term PAF (termination) paperwork.
  • Distributes the offboarding checklist to the supervisor and the existing employee.
  • Distributes the Exit Interview form and schedules any requested exit interviews.
  • Distributes separation letter - retirement/voluntary resignation/termination.
  • Regularly sends Term PAF reports to Payroll.
Who you are:
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Strong attention to detail and a demonstrated ability to handle multiple priorities and function independently and effectively under heavy workloads and during peak periods.
  • Experience with HRIS and applicant tracking systems (ATS) and reporting.
  • Excellent customer service skills, strong critical thinking abilities, and a professional demeanor.
  • Proactive and independent with the ability to take initiative.
  • Excellent time management skills with a proven ability to meet deadlines.
What you bring:

Required Qualifications
  • Bachelor’s Degree with 3 years of work experience and a minimum of one year in Human Resources.
  • Demonstrated knowledge and experience executing current practices in full cycle recruitment.
  • Working knowledge of human resources rules, regulations, processes, and procedures and the ability to explain facts, policies, and procedures to others.
  • Demonstrated technical ability and strong knowledge of Microsoft Office Suite, Google Suite, calendaring software and database management.
Preferred Qualifications
  • HR Certification PHR or SHRM-CP
  • Prior recruiting/talent acquisition experience.
  • Prior experience working in higher education.
