Provides administrative support to the Provost and Vice President for Academic Affairs by performing the essential duties and responsibilities outlined below.

Essential Duties & Responsibilities

Serving as the Executive Assistant for the Provost and Vice President for Academic Affairs, the Executive Assistant (EA) provides effective management and coordination of the Office of the Academic Affairs functions using a combination of project management, communication, and high-level administrative and relationship support skills. The EA has recurring contact with members of the faculty, senior administrators, staff, students, and parents.

This role must have the highest level of professionalism and confidentiality. The EA must exercise good judgment in a variety of situations and enjoy working in a collaborative team that is mission-driven, results-driven, and community oriented. The EA also works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

  • Coordinate the day-to-day schedule and activities of the Provost. Maintain an accurate calendar for leadership team meetings, individual meetings, and functions.
  • Oversees and coordinates major campus events such as Commencement, Convocation, faculty receptions, and dinners.
  • Coordinate projects and initiatives, research, track, and compile information, manage expenses, and prepare or assist with agendas, reports, briefings, memos, and presentations.
  • Monitor, oversee, and coordinate the flow of incoming and outgoing communications to the Provost and the Office of Academic Affairs.
  • Develop and implement processes for timely, responsive, and effective follow-up within and among the office, with various internal constituencies. Manage multiple tasks.
  • Perform administrative functions that require a thorough knowledge of the college’s policies, procedures, and operations.
  • Create a professional team approach to facilitate successful office operations; reacts well under pressure; treat others with respect and consideration regardless of their status or position. 
  • Assist with the development, management, and related processing/approvals of the budgets under the control of the Office of the Provost. Maintains multiple budgets in accordance with procedures and oversees line-item spending (transferring funds as needed), and generating reports, as needed.
  • Safeguard the confidentiality of information by exercising discretion in communicating information to faculty, staff, students, and other constituents served by the College.
  • Follows policies and procedures, completes administrative tasks correctly and on time, and supports the organization’s goals and values.
  • Hire and supervise work-study students.
  • Evening and weekend availability is minimal but required at times.

Education & Experience

A Bachelor’s degree is preferred and/or 5+ years of experience supporting senior executive(s) preferably in higher education. Proficiency in Microsoft Office Suite, including SharePoint, Teams, and Forms is also preferred.
