As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University has an immediate opening for an Administrative Assistant for the Marian University Center for Academic Success and Engagement (CASE). This is a part-time (20hrs/wk), 9-month position, generally from August 1 to May 31. Some flexibility is required to accommodate new student and transfer student orientation days during the summer months. The Administrative Assistant and Peer Tutor Coordinator will promote our Catholic Franciscan mission and identity by ensuring that CASE personnel and resources are conveniently available to meet the needs of Marian University students, faculty, and staff. This person will provide direct administrative support to the Director of CASE, Director of Academic Engagement, Director of Academic Support, Director of Academic Advising, and Director of 21st Century Scholars. In addition, this person will coordinate the logistics for the peer tutoring program.

 

Essential Duties & Responsibilities:

  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan intellectual traditions in courses, programs, and services.
  • Coordinate logistics for the peer tutoring program including completion of necessary hiring paperwork for tutors, reviewing timecards for accuracy, assigning tutors to athletic study tables and creating an open tutoring schedule in the peer tutoring center.
  • Provide customer service to students, faculty, staff, and visitors to the Peer Tutoring Center.
  • Schedule and organize meetings for members of the CASE team, including student appointments, bi-weekly staff meetings, one-on-one meetings, and other meetings as needed.
  • Prepare meeting materials such as minutes, agendas, and agenda items.
  • Prepare travel season schedule for the Director of 21st Century Scholars, including making initial contacts, scheduling high school visits, and preparing travel arrangements.
  • Assist with data entry. Create and update content for CASE promotional materials.
  • Create advertising materials for CASE events, including Student Success Seminars, 21st Century Scholar Events, First and Foremost Programs, and Academic Advising workshops.
  • Other duties as assigned.

 

Required Qualifications:

  • Knowledge of and commitment to the mission of Marian University.
  • Bachelor’s degree strongly preferred. High school diploma or general education degree (GED) with three to five years’ experience required.
  • Ability to work independently yet collaboratively with colleagues, students and supervisors.
  • Must have excellent communication skills and organization skills, multi-task and be able to establish priorities within a fast-paced environment.
  • Ability to work with confidential information in a manner respectful of the dignity of the individual.
  • Strong computer skills with a proficiency in Microsoft Office.
  • Must have keyboarding skills of 50 wpm.
