Position Summary

The Program Coordinator, Evaluation & Reporting, supports the Assistant Director and Grants Office project teams with project reporting, evaluation, and data requests. This position is responsible for coordinating the development of grant reports. This role partners with the Office of Institutional Effectiveness to support grant data collection & analysis. Additionally, this role acts as a point of contact for third-party evaluators.

ESSENTIAL JOB FUNCTIONS

Grant Project Support - Reporting & Data Coordination

Coordinates reporting activities with designated grant project teams, including the development or clear understandable reports, reviews, submission, and archiving. Ensures internal and external project reports demonstrate progress on deliverables, best practices learned, and broader impacts for the college and discipline. Works in partnership with the Office of Institutional Effectiveness to support the analysis of critical data points and ensures alignment associated with project outcomes, including ensuring that performance metrics align to established institutional and project data dictionaries.

Proactively coordinates any project data requests, including having a clear understanding of any custom analysis requests for the purpose of communicating with the Office of Institutional Effectiveness, and provides timely service in response to requests. Develops and maintains an in-depth understanding of the data systems used by the College, the nuances of how the data elements are captured and stored, and how to best interpret the data.

Summer Programming Support

Under the direction of project leadership, supports the facilitation of specific grant funded summer programming for HRSA HCOP and/or any other summer programming related to the Grants Office projects.

Third-Party Relationship Support

Coordinates and oversees relationships with third-party evaluators, to ensure studies are implemented with high quality, data needs are met, and timelines adhered to. Oversees the day-to-day operations of project evaluations. Review and refine program evaluation plans in support of project goals and strategic priorities. Develops a working knowledge of the IRB process with the ability to assist project teams. Serve as primary point of contact and liaison to external project evaluators, institutional review board (IRB), and institutional effectiveness for Advancement Division projects.

Knowledge, Skills and Abilities: Knowledge of: Technical writing and graphical presentation of data, dataset management and data collection processes; CRM system functions; report development; student information system functions and queries; computer software programs, applications; and standard office practices and procedures. Skill in: Ability to present institutional data results and analyses in electronic, web, graphical, presentation, or written formats. maintain confidential and sensitive information. Proficient in verbal and written communication; listening; preparing written reports; problem solving and analytical thinking; operating general office and job-related equipment; follow-up, planning, maintaining and promoting good public relations; customer service; execution of work plans, general typing. Ability to: Serve as official college representative; work independently demonstrating initiative; coordinate multiple activities and tasks; maintain confidential and sensitive information; work effectively with persons of varying cultures and backgrounds; develop, implement and deliver effective data reporting presentations; coordinate multiple concurrent activities and task; exhibit flexibility in work schedule and job tasks; develop and maintain effective working relationships with peers, supervisors, external and complete work records; organizing and problem solving.

Minimum Qualifications:
  • Bachelor's Degree with analytical focus, such as social sciences, statistics, business, marketing, computer science, or research.
  • Two (2) years of experience with databases, reporting, and a basic understanding of formative and summative analysis.
  • State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
