Job Description

This position serves as the key administrative employee for the NextGen Precision Health building, a multi-million-dollar research center with a world-class reputation for research excellence. This position manages the daily operations and supports the NextGen building Director to assure faculty investigators maintain a high level of research productivity. Successful candidates for this position must be comfortable moving detailed-work and high-level strategic planning.
  • Provide staff support to the NextGen Precision Health building Director and back up support to the Senior Executive Assistant for the Executive Director. Tasks include managing calendars, scheduling meetings, preparing materials for meetings and presentations, and other support duties as assigned. Must always maintain the utmost professionalism and discretion.
  • Manage daily operational tasks for the NextGen Precision Health building - maintain building access lists, work with hospital security for building access for personnel, maintain listservs (10+), coordinate with communication staff to develop and implement communication strategies for the NextGen Precision Health Initiative and building, provide reception to executive suite guests, order and maintain office supplies, serve as backup for building supply ordering, and manage any student employees.
  • Coordinate and schedule annual faculty reviews, collect all data from each faculty member, tabulate data for review, and present data to director. Must have an in-depth understanding of the faculty member's deliverables from the prior academic year to present the information accurately. Communicate with the home department for these reports.
  • Work with the NextGen Precision Health building facilities manager to oversee physical space and equipment inventory. Ensure all NextGen Precision Health building space and equipment are correctly assigned, accounted, and reported to the University. Produce space and equipment reports for the Director and other leadership entities. Prepare accurate reports for the business manager for billing purposes.
  • Coordinate events - Review event proposal requests, work with NextGen Precision Health building office support personnel to schedule event space, support event staff and event patrons before and after events. Assist and support the Executive Director in planning and executing events for the NextGen Precision Health Initiative.
  • Partner with other Administrative Leads to form NextGen Precision Health building policies and practices. Attend NextGen Precision Health building meetings, take and distribute minutes.
  • Perform other job-related duties as assigned or identified by the Building Director to ensure the smooth operation of NextGen Precision Health building.

Salary

$48,900 - $75,000/year

Grade: GGS 10

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.
