Overview

The Business and Grants Manager reports to the Department Manager and has responsibility and oversight for all aspects of financial management for the Department of Mathematics, including administrative, endowment, and external funding. The role includes all aspects of this work, including responsibility for information stewardship and managerial oversight for departmental staff working with financial and research administration processes. The Business and Grants Manager is expected to perform these responsibilities in a highly independent manner while also maintaining collaborative relationships with the Department of Mathematics faculty and staff, as well as with colleagues across the University.



Responsibilities

1) Resource and Information Stewardship

* Formulation and recommendation of annual administrative and endowed budget for the department under the direction of the Chair and Department Manager.

* Develop and maintain departmental accounting and record keeping procedures to ensure compliant and responsible resource stewardship.

* Develop and maintain internal controls procedures for routine review, approval, and reconciliation of all departmental expenditures.

* Develop and maintain departmental tracking mechanism(s) for financial commitment and other information to ensure efficient and accurate information stewardship.

*Serve as the departmental expert on all financial information, processes, and policies.

* Attends all relevant training classes and stays current with changes in policies, procedures and processes pertaining to financial management and sponsored research.

2) Financial Management and Compliance

* Routine review, reconciliation, and oversight of administrative, discretionary, endowed, and sponsored funds.

* Review, oversight and/or approval of all salary support, purchases, invoices, travel reimbursements, and honoraria on all sources of funding within the department.

* Ensures compliance with intended purpose for endowed and gift funds as indicated in deed of gift.

* Processing and approval of labor accounting transactions; track salary and commitments for faculty and graduate students on departmental and sponsored funds.

* Approval of expenditures in accordance with funding availability, forecasted balances, and account restrictions.

* Management of departmental credit cards including Concur approval and other expense activity.

3) Research Administration

* Oversight of all pre- and post-award research administration processes and the communication of deadlines and guidelines to faculty.

* New proposal submissions, including responsibility for all administrative aspects of proposals, such as budget development, and the preparation of internal records in Princeton ERA and external records in sponsor portals.

* Monthly forecasting, monitoring and approval of spending, and quarterly preparation and dissemination of financial reports to PIs.

* Oversight of all other research administration processes, such as progress reports, effort certification, and others as needed.

4) Data Analysis, Presentation, and Advising

* Routine analysis of financial data and presentation of financial information for meetings with the Chair and Department Manager.

* Use of financial data analysis and development of forecasting tools to advise Chair and Department Manager on any questions that may arise, including those pertaining to faculty hiring, graduate student costs, etc.

5) Staff Management

* Provide supervision, support, and mentoring to the two financial staff reporting directly to the position, as well as to a staff member with a dotted line to the position.

6) Departmental Representation and Collaboration Building

* Work closely with PACM and other departments and offices to manage and reconcile financial and other related issues.

* Participate in and represent the Department at Grants Manager meetings, and at special project committees organized by ORPA, SRA, and other offices.

* Perform other duties as assigned.



Qualifications

ESSENTIAL QUALIFICATIONS

* Must have extensive financial and research administration expertise.

* Bachelor's degree with minimum of 5-7 years accounting, business and research administration experience.

* Working knowledge of federal regulations regarding fiscal management of federal funds.

* Excellent organizational and interpersonal skills.

* Excellent written and verbal communications skills.

* Ability to exercise independent judgment to plan and prioritize diverse workload.

* Ability to creatively solve problems and formulate/implement process improvements.

* Excellent information and data gathering skills.

*Ability to act as advocate for faculty, proactively investigating and navigating University business expense and research administration procedures and processes.

* Ability to manage multiple priorities in a fast paced, often changing environment.

* Ability to take initiative, self-motivate and function autonomously.

* Able to handle frequent deadlines.

* Able to handle working in a large department with a large number of faculty, postdocs, graduate students, and staff. Able to juggle many questions at the same time, while maintaining reasonable response time.

* Must maintain strict confidentiality of salary and other financial information.

* Ability to function effectively in a team-based environment.

* Strong computer skills: experience with Microsoft Office Suite software, excellent skills in MS Word, proficient in Excel, and Outlook.

PREFERRED QUALIFICATIONS

* Experience with University Systems and Software including PeopleSoft, Prime, Concur, Princeton ERA, Labor Accounting and with various portfolios within the Information Warehouse.

* Familiarity with University resources (Dean's Offices, Provost's Office, Treasurer's Office, OIT).

* Familiarity with Princeton's administrative procedures and policies.
