The departments of Facilities Management & Campus Services (FMCS) work together to provide Service Excellence. The departments within FMCS offer the following services:
  • Facilities Management - maintenance and repair, event support, custodial services, access control, grounds and landscaping, life safety systems.
  • Campus Services - includes university stores, copy centers, printing, Postal Services, FMCS storeroom, central warehouse, and parking and transportation
  • University Engineer – capital renewal, utility systems, extensive recycling and green practices

Job Description Summary:

Under the direction of the Director of Supply & Logistics and Postal Services, the Supervisor of the Central Warehouse is responsible for the continued growth and development of the central warehouse by providing financial, strategic and administrative leadership of the area. Duties include the supervision of the receiving process for custodial inventory including physical receipt, storage, transportation and related activity. This position is responsible for handling confidential matters such as personnel, employee hiring, training, scheduling, discipline issues and conducts performance reviews. The current location of the central warehouse is in Etna, PA.

Job Functions/Core responsibilities:
  • Central Receiving Support for Campus Wide Operations
    • Directs all aspects of the warehouse which include monitoring work flow, productivity and staffing.
    • Responsible for the overall financial performance of the department including budget preparation, reviewing financial statements, inventory management, audits and the effective utilization of data to drive decision making under the supervision of the Director.
    • Supervises staff activities including unloading trucks, unpacking receipts, and verifying quantities against cost.
    • Supervises and directs personnel. Interviews, selects and trains warehouse personnel including truck drivers. Monitors staff needs, workflow and productivity. Distributes work as required, develops operating policies and procedures, makes recommendations, and implements work process improvements.
    • Responsible for managing staff with regard to reviewing timesheets, absence requests and ensuring minimum coverage requirements for warehouse operations.
    • Requires a knowledgeable understanding of union/CMU agreement and related work-practices.
    • Oversee and schedule required forklift training for personnel as well as other departments as needed.
    • Oversee the safe operation of all equipment, storage and racking systems within the warehouse.
  • Warehouse Inventory Management
    • Oversees operational and financial management for Maximo inventory items housed and distributed from the warehouse to main campus. Responsible for optimizing efficiency and accuracy via operational improvements.
    • Oversees the development of the google order form into a website portal to market the department and facilitate customer orders.
    • Communicate and coordinate with customers for orders, delivery information and ensures a prompt three day turn around for all items requested.
    • Plans, develops and implements short and long term goals, objectives and strategies for effective and efficient services within the operation.
    • Leads annual inventory counts and monthly checks. Takes necessary actions to reconcile accounting/freight statements.
    • Monitor the flow of inventor for day-to-day needs and peak periods. Ensure sufficient supply on hand for commencement, move-in and orientation.

  • Long Term Storage Oversight
    • Manage rates to increase each year and communicate with departments.
    • Maintain oversight on active long term storage to ensure it does not become a dumping ground for items such as old furniture or file storage. Coordinate with departments and refer them to other long term storage options in the event space is limited and prioritize university requirements.
    • Ensure sufficient space available for the core university needs to storage items for graduation, commencement and other departmental needs.
    • Manage and administer the university long term storage rental program. This includes charging customers a monthly rent for the amount of pallet space utilized. Ensure billing is accurate and timely.
Qualifications:
  • Ten years of experience in warehouse, receiving and delivery operations.
  • Experience with inventory management.
  • Experience with customer service relations.
  • Supervisory or leadership experience working with unionized workforce preferred.
Physical and Mental Requirements:
  • Ability to manage multiple priorities, goals, and objectives.
  • Ability to collaborate with colleagues at all levels of the organization regarding a variety of relevant issues.
  • Ability to maintain composure when dealing with difficult situations and/or individuals.
  • Ability to meet deadlines, work under pressure and with frequent interruptions.
  • Ability to pay close attention to detail; keep and maintain accurate and detailed reports and records.
  • Ability to prioritize work and handle multiple tasks simultaneously.
  • Ability to understand and follow strategic direction from divisional leadership.
