Williams College Libraries are looking for an Administrative Coordinator. The Libraries Administrative Coordinator works closely with the Director of Libraries and is responsible for managing the office that oversees two libraries and a shelving facility. They monitor expenditures and assist in preparing the budget, collate and prepare statistical and other library reports, oversee building maintenance for the Sawyer Library with Facilities Management staff, and assist in an array of projects and building issues, and maintain confidentiality where necessary. The Coordinator serves as the primary contact welcoming visitors to the Libraries administrative office. The Coordinator also works closely with the Director and other library staff in organizing large scale events and meetings.

This is a full-time (37.5 hrs/wk), year round regular appointment. We welcome hybrid on-site/remote work arrangements proposed by employees based in NY, MA, CT, or VT. Such proposals are reviewed and approved by supervisors and are subject to review and revision as policy evolves.

Responsibilities
  • Facilitates and supports the work of the Director of Libraries. Supports the Director with arrangements for scheduling meetings and events, and manages assigned library projects.
  • Manages a variety of financial transactions including reimbursements, invoices, etc. working in the Peoplesoft financial system and closely with library staff, the director, and the Controller’s Office.
  • Reviews monthly reports of the operating budget from the Controller's Office and identifies areas of concern for the director. Confirms that funds are expended in a timely fashion. Assists the director in preparing and submitting annual budget requests.
  • Assists in the organization of events with library staff including the Director, the Head of Research Services & Library Outreach, and the Head of Special Collections with a particular focus on logistics like catering for campus and public events hosted by the Libraries.
  • Collates and prepares statistical and other library reports. Coordinates preparation of library annual report including collation of statistics from multiple internal and external sources. Prepares library’s response to various external surveys.
  • Oversees replacement of office equipment, furniture and supplies.
  • Maintains critical library files including contracts, licenses and confidential personnel folders.
Qualifications

Required Qualifications
  • Bachelor’s degree and a minimum of one year of relevant experience, or an equivalent combination of education and experience.

  • Demonstrated ability to prioritize and organize multiple projects, simultaneously.
  • Ability to interact effectively with people with diverse identities and socio-economic backgrounds.
