Reporting to the Director of Research and Strategic Initiatives, the Program Manager of Sponsored Research and Strategic Initiatives in Penn Engineering will provide project management assistance and executive-level administrative support to the Senior Associate Dean and the Associate Dean of Research (the Associate Deans). Coordinate events; create and disseminate department communications; manage the Associate Deans' calendars, travel arrangements, and expense report submissions; and manage the operational needs of the office of the Senior Associate Dean. Manage postdoc affairs for the school, including programming workshops, delivering content, providing support for career development opportunities, etc.

Job Description

The Program Manager's responsibilities include:

Executive-Level Administrative Support
  • Manage the Associate Deans' calendars and schedules. exercising considerable judgment about multiple demands on the senior leaders' time. Troubleshoot and resolve scheduling conflicts.
  • Manage travel arrangements and prepare and submit expense reports on behalf of the Associate Deans.
  • Manage the operational needs of the office of the Senior Associate Dean (e.g., ordering supplies and replenishing inventory, greeting visitors, etc.).
  • Serve as point of contact for inquiries related to research and strategic initiatives.


Project Management
  • Assist with executing departmental short and long-range strategic and programmatic plans.
  • Track status of projects and support timely completion; summarize and evaluate related project issues and create presentation materials.
  • Manage the data entry and maintenance of the space inventory and utilization database.
  • Collect information through fact-finding activities, library and web searches, and data acquisition.
  • Synthesize data from multiple departments and sources for information sharing and to support decision-making.
  • Analyze and prepare final deliverables in a variety of formats appropriate for different constituencies.
  • Maintain an up-to-date database of templates and example materials for major and regular sponsors.


Event Coordination
  • Under the direction of the Associate Deans, Director, and appropriate senior school staff, coordinate and manage select special events and workshops for students, faculty, and staff in the school.


Communications
  • Manage department communications including announcements, web content updates, sponsored funding opportunities, newsletters, and fielding general inquiries.
  • Maintain Research and Innovation website content.
  • Prepare PowerPoint presentations.


Postdoc Affairs
  • Manage postdoc affairs for the school, including programming workshops, delivering content, providing support for career development opportunities, etc.


Qualifications:

Bachelor's degree and a minimum of three years of experience, preferably in a university setting, or an equivalent combination of education and experience. Must be highly self-motivated, well organized, flexible, able to maintain and prioritize many concurrent projects, and able to communicate and interact effectively with individuals at every level within the School and various departments elsewhere in the University and externally on behalf of the offices of the Senior Associate Dean and the Associate Dean of Research. Demonstrated high degree of sound judgment and discretion.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
