Job Description

Saint Peter’s University is seeking an Assistant Coordinator of Special Programs for the School of Professional Studies. Reporting to the Associate Dean for Academic Affairs, the Assistant Coordinator is primarily responsible for the overall coordination and implementation of all academic services to guide prospective and currently enrolled students in partnership programs from application to graduation. In addition, this position will assist students with transfer credits, course registration, advisement, and graduation review. The position’s work is consistent with an understanding of the mission, vision, role, and goals of the administrative, academic, or research unit.

Duties & Responsibilities

Among the key duties of this position are the following:

● Anticipates and resolves partner issues, analyzes participant feedback and implements change to program delivery accordingly, while striving for the highest level of student service throughout all phases of the program
● Develops informational workshops to guide students through University processes and assess the effectiveness of reaching program goals. As needed, this position will recommend and revise processes, and then serve as an agent for implementing and communicating changes.
● Counsels prospective and currently enrolled, undergraduate and graduate students in person, on the telephone, and through written/email correspondence
● Creates course schedules every semester for each program and links faculty to their respective courses.
● Facilitates multiple facets of the off-campus academic programs, projects, and/or processes including, but not limited to working with admissions, orientation, transfer credit processing, and advising.
● Oversees the review of student audits for graduation approval.
● Works closely with various offices on-site and within the University community to ensure cohesiveness of process and to maintain a level of communication between service areas.
● Represents the university at various recruitment or enrollment functions (i.e. college fairs, open houses, orientation)
● Prepares and deploys communication to students and works with appropriate offices to provide content for publications, emails, and the website.
● Other duties as assigned by the Associate Dean for Academic Affairs.

Qualification Standards

• Working knowledge of and experience with advisement and coordination of diverse student populations in an academic setting.
• Interpersonal skills and a desire to work closely with people, along with strong written and verbal communication skills.
• Excellent written and verbal communication, customer service, and organizational skills.
• Attention to detail and ability to perform multiple tasks in a fast-paced environment.
• Ability to learn new skills, software applications, and procedures quickly.

Education

• Bachelor’s degree in a related field preferred or an equivalent combination of education and/or experience.

• A minimum of two (2) years of work experience in higher education and/or an alternative academic setting.
