Position Summary:

As a core educational facility for the VCU School of Medicine and the VCU Health System, the Center for Human Simulation and Patient Safety (CHSPS) conducts a diverse range of courses for medical students, residents, nursing staff, fellows, attending physicians and other healthcare providers.

The Simulation Program Coordinator will be responsible for the following:
  • Master scheduling for all programs within Center for Human Simulation and Patient Safety; including monitoring and scheduling external use of simulation lab equipment.
  • Confirm set up of simulators and task trainers for educational sessions with staff and faculty.
  • Collaborate with education, technicians, operations and faculty teams to ensure medical event simulation efficiency.
  • Generate monthly and annual usage reports for the Medical Director and/or Division Administrator; assists with creating reports to meet accreditation standards.
  • Maintain disposable inventory list and assist with inventory procurement; ensures the safe storage and disposal of materials.
  • Maintain session attendee lists, create Google Forms for hourly staff availability, and QR code generation.
  • Assist Division Administrator with ordering equipment and supplies.
  • Collaborate and assists Simulation Center staff with developing, implementing, updating and monitoring simulation lab policies and procedures.
  • Coordinate Simulation Assistants and assign tasks based on event needs; collaborate with the Standardized Patient Program to ensure that staffing needs are met for events; assign Simulation Assistants as Patient Ultrasound Models, as needed for pre-clinical medical students and external clients.
  • Models professional standards, including customer service, collaboration, communication, excellence, attendance, and related.
  • Any other duties as assigned and/or needed to meet expectations for medical learning.
  • Expected to be generally present and available throughout the year during the normal business hours of the Simulation Center; may occasionally have work obligations outside of the Center’s normal business hours.
  • Expected to make independent decisions with scheduling; escalating to Division Administrator if multiple issues arise and/or additional expertise is required.
Minimum Hiring Standards:


Must have event scheduling experience.

Excellent organizational skills and interpersonal (verbal and written) communication skills.

Must be detail-oriented with planning, documentation and communication.

Must have strong service orientation skills.

Excellent organizational skills and excellent interpersonal communication skills.

PC skills using word processing, database, spreadsheet and other software; Microsoft Office suite and Google suite.

Must have ability to manage multiple tasks and prioritize work assignments.

Must be able and willing to learn and utilize skills as needed.

Must be willing to make scheduling decisions and escalate if additional assistance is required.

Knowledge of how to utilize medical simulators and task trainers.

Knowledge of ordering inventory; medical equipment and supplies.

Demonstrated ability to work in a diverse environment.

Preferred Hiring Standards:

Relevant experience in a university setting preferred.

Knowledge of financial reporting systems preferred.

Knowledge of simulators and task trainers and their uses preferred.

Knowledge of medical terminology and/or previous medical experience preferred.

Some college or certifications preferred.

Position will remain open until filled.
