Alternative Pathway Program Coordinator

About the Opportunity

JOB SUMMARY:

The primary role of this position is to provide and coordinate administrative support to the International Pathway Programs and Global Network Teams. Through excellent verbal and written communication, this position plays a key role in ensuring both teams are meeting the administrative needs of all GEO programs geared to first year students (The N.U.in Program, Global Scholars and Global Quest). Successful candidates will be detail-oriented and comfortable working independently and as a part of a diverse team. The person in this role is expected to maintain a working knowledge of our programs' content and able to help support the tasks needed to manage the workflows associated with these programs. In addition to performing a number of general administrative tasks, the position supports event planning, equipment tracking, travel bookings, and acts as a liaison with systems and technology support.

This role plays a crucial role in ensuring success for the students and the first year academically integrated programs, while maintaining the mission of the Global Experience Office and Northeastern University.

QUALIFICATIONS:
  • Bachelor's degree required
  • Minimum 1-3 years' experience in higher education, with preferred focus on international higher education, administrative experience and/or related educational experience.
  • Process flows understanding and the ability to work well in a team environment with limited supervision.
  • Demonstrated ability to multi-task in a fast-paced work environment.
  • Excellent interpersonal, diplomatic, and intercultural communication skills.
  • Strong computer skills, with proficiency in Microsoft Word, Excel, PowerPoint, Skype, and social media.
  • Possess strong writing and project management skills.
  • Ability to exercise sound judgment.
  • Detail oriented and strong organization, prioritization, time management, and follow-through skills.
  • Ability and willingness to work evening and weekend hours as required for Alternative Pathway events such as admissions events and pre-departure orientation


RESPONSIBILITIES INCLUDE:

Event Coordination and Student Engagement -
  • Support, and at times take the lead, on planning and coordinating assigned aspects of in-person and virtual program events, trainings, and meetings.
  • Assist team members in planning and execution of events, which may include but is not limited to working with various university and non-university stakeholders, reserving room space, and creating audio/visual presentations
  • Manage pathway program alumni ambassador team - oversee selection, training, supervision and on-going engagement of student leaders


Administrative Tasks -
  • Coordinate staff schedules and meetings as needed
  • Track meeting outcomes and assist with project oversight and management
  • Maintain Alternative Pathway Programs calendar
  • Maintain online database collection of student files and forms such as passport photos and enrollment documents.
  • Ensure student database is always current and accurate
  • Ensure documents contained within student database meets all criteria requirements
  • Oversee university storage systems and manage team filing systems to ensure cross-team communication, organization and data privacy
  • Manage on-site program inventory and return tracking process, e.g. phones and program materials
  • Coordinate group flight process for students
  • Manage individual student billing related to group flights and program withdrawals
  • Track staff travel, assist with travel bookings as needed, liaise with travel agency
  • Liaise with finance team to track program budget and procurement card spending and reconciliation
  • Review Program Deviation submissions and flag high-risk submissions with site staff and Global Safety Office
  • Mailing, shipping and ordering supplies


Social Media and Website Maintenance -
  • Provide support to the team via website postings and updates
  • Support in maintaining social media presence by advising on post content and providing other updates so that the programs' media footprints remain relevant, active, and current to incoming program participants as well as program alumni

Other -
  • Participate in GEO and university projects as necessary
  • Lead GEO projects as necessary
  • Oversee applicable Standard Operating Procedures
  • Liaise with other Northeastern departments as needed
  • Other duties as assigned
