Program Assistant, Chatham Music & Arts Day Camp

Chatham University is accepting applications for a Program Assistant for the Music and Arts Day Camp. The Program Assistant is responsible for assisting with managing and coordinating clerical and administrative activities associated with the Chatham Music and Arts Day Camp.

The position requires attention to details, excellent communication skills, and performs clerical and general office duties of a highly responsible nature.

This position is funded through August 15, 2023; it is possible, but not in any way guaranteed that additional funding will be available for continued employment after that time.

Duties and Responsibilities:
  • Assist the Director in coordinating staff training activities, scheduling meetings, developing and disseminating promotional materials/website, and coordinating registration for the annual day camp.
  • Communicate clearly, effectively, and efficiently with a wide variety of people in both oral/video, and written encounters.
  • Maintain appropriate files, records, and computerized databases.
  • Keep the Director informed on the progress of all assignments.
  • Take notes at meetings, coordinate tasks and follow-up, and assist with event & task planning.
  • Assist the Director in tracking purchase orders, registration, and employee paperwork.
  • Post training activities for employees to a learning management system.
  • Track employee completion of required activities and paperwork.
  • Performs other duties as assigned by the Director.
  • Work may be 75-100% remote, except for during the actual camp.
Qualifications:
  • High school diploma or GED.
  • Excellent communication and interpersonal skills.
  • Proficient in utilization of Microsoft Office products and databases.
  • Willingness to learn new systems & skills.
  • Ability to create forms, track, and compile data.
  • Detail oriented, ability to follow directions, and take initiative for task completion.
  • Good time management and outstanding organizational skills.
Preferred Qualifications:
  • Associates Degree
  • Two or more years of experience working in a position that requires effective management of regular processes (e.g., staff scheduling, tracking expenses) and complexity (e.g., following regulatory requirements and adapting, experience with grants).
