The Phyllis J. Washington College of Education invites applications for an Administrative Associate IV to join their dynamic team. Reporting to the Director of Finance and Operations for the College of Education, the Administrative Associate IV will work as part of a close-knit administrative team made up of a lead Administrative Associate IV, a Budget Analyst, and the Director of Finance and Operations. Working closely with the lead Administrative Associate, this position will be responsible for providing programmatic support to departments, overseeing day-to-day operations, and developing and implementing strategies to improve operational efficiency and effectiveness. This position requires an individual who is driven and self-motivated, innovative, and someone who takes initiative without having to be told what needs to be done. This individual must be comfortable adjusting to changing priorities throughout the academic cycle, demonstrate sound judgment and maintain a consistently professional, personable demeanor. Each day will be different in this positive and fun office environment!

Key duties and responsibilities include but are not limited to:

Office/Administrative Management
  • Provide professional face-to-face, telecom, and digital customer service
  • Manage daily office functions such as ordering supplies, submitting maintenance work orders, and room scheduling and coordinating classes, events, co-curricular activities, and meetings for the College
  • Take the lead on planning and execution of college events and producing materials for meetings
  • Pull reports on course enrollment, student applications, and trends in recruitment and retention for use by the Dean, Department Chairs, and in the accreditation process
  • Manage scholarship process
  • Maintain filing system of both paper and electronic documents
Program Management
  • Meet with department chairs to discuss and address departmental and programmatic needs
  • Assist with the course evaluation process
  • Attend departmental and Advisory Board/Council meetings and take notes
  • Collect and archive syllabi with the Mansfield Library each semester
  • Assist Budget Analyst with travel forms and paperwork
  • Other duties as they arise
Required Skills
  • Knowledge of standard office practices and procedures: business English, spelling, grammar, punctuation, composition and good communication skills
  • Proficient with basic office technologies and software
  • A positive and constructive attitude, ability to interact patiently and respectively with co-workers, students, faculty, and administration
  • Ability to take initiative and work efficiently without supervision
  • Strong attention to detail and follow-through
  • Demonstrated organization skills as they relate to task completion and follow-up
  • Adaptability and capacity to meet challenges and learn new skills
  • Ability to maintain discretion
Minimum Required Experience
  • High School diploma and two (2) years experience or an equivalent combination of education and experience
Preferred Qualifications
  • Bachelor’s degree
  • Prior customer service experience
  • Ability to work well with diverse groups of people
  • Vision for ways of improving efficiencies and outcomes with existing processes

Position Details

Position Title: Administrative Associate IV

Position Number: NEW

Department: Phyllis J Washington College of Education

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through

Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $17.496/hr employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Union Affiliation: FOCUS-MFPE

Probationary Period: Six months minimum
